Job summary

An opportunity has arisen for a Secretary/Coordinator to join our team within the Community Paediatric Service of the Children and Families Division, on a 6-month Fixed Term basis. This is primarily a Coordinator role to oversee the administrative function for citywide Child Protection Medicals.

The post will based at Allens Croft Children's Centre. The work pattern will be Monday to Friday 9am - 5pm.

This interesting and varied role requires the ability to work well on your own initiative whilst being committed to will responsible for the provision of a comprehensive administrative service to the Safeguarding Lead Consultant Community Paediatrician. Alongside supporting the Doctors in Training and Medical Secretaries who help the service provision for Child Protection Medicals.

Main duties of the job

To provide an efficient and comprehensive administration service to the Named Doctor for Safeguarding Children and Young People. Including supporting the delivery and function for the Community Paediatric Service provision of Child Protection Medicals.

To work collaboratively with and oversee other medical secretarial colleagues to ensure Child Medicals are carried out and Reports are produced and distributed within acceptable and agreed timescales.

The post holder will carry out duties in such a way as to make a direct and positive contribution to the organisation of the work. Providing day to day support to the Named Doctor. It is essential that the post holder should exercise initiative commensurate with the role and that confidentiality is maintained at all times.

Duties will include organising and minute taking at meetings, handling telephone calls, liaising closely with Doctors and Administrative colleagues and monitoring correspondence around Child Protection Medicals. The typing of confidential, complex and often sensitive clinical reports is also an integral part of the role.

You will have the ability to work under pressure, prioritise your workload to meet deadlines and to deal with confidential and sensitive issues in a professional manner.

Job description

Job responsibilities

Provide administrative support to the Named Doctor for Safeguarding Children and Young People, Consultant Community Paediatricians and the team of Doctors in Training that carry out Child Protection Medicals. This requires a sound knowledge of medical terminology. To include typing of all correspondence and reports using Microsoft packages such as Word and PowerPoint, if requested. Receive telephone calls and act as the point of reference for Social Workers, Parents/Carers, Health Visitors, School Nurses, General Practitioners, Police and the Education Department and other service users, liaising with the Consultants and other doctors as necessary. Receive telephone calls from Social Care colleagues, Central Booking Service and liaising with Doctors in Training and Consultants to organise and oversee the agreed Child Protection Medical booking process as per CP SOP. When required type Child Protection Reports for the Consultant and medical team, using digital dictation, forwarding requests for investigations, ( EEG, X-Rays, blood tests), filing results and correspondence. To oversee production and collect data on CP Reports sent to to Social Care Services/Police Statements on children seen for Child Protection Medicals, liaising with solicitors and Guardian ad Litem, as requested. Some letters or reports may be of a sensitive and sometimes upsetting nature due to their content To deal with sensitive and sometimes complex enquiries from Social Workers and The Trust Safeguarding Team to exercise tact and give suitable non clinical support in the absence of the Named Doctor for Safeguarding Children and Young People. Qualifications

Essential

o5 or more GCSE/O levels which must include English and Maths at Level C or above or 'A' Level/BTEC Diploma/ NVQ3 Business Administration/Customer Service plus relevant experience. oAdvanced keyboard skills/RSAIII or OCR equivalent/Advanced ECDL

Desirable

oSignificant previous medical secretary experience in a clinical setting. oExperience of working within a team. oExperience of using an audio transcription system, preferably digital dictation.
