Main duties of the job

Main duties of the job

To manage and coordinate all aspects of practice functionality, motivating and managing staff, optimising efficiency and financial performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment.

The practice manager will, through innovative ways of working, quality and continuous improvement, confidentiality, collaborative working, service delivery and learning and development, ensure the practice complies with CQC regulations.

-A caring and a close-knit team:

The practice clinical team consists of 5 partners, 2 salaried GPs, an ACP, 3 Practice Nurses, 3 HCA's and ARRS staff. The Practice manager and clinical team are well supported by a structured team covering all Finance, Governance, Reception/ Dispensary and Secretarial/Administrative duties.

Most of our staff have been at the practice for several years. We have an annual Summer and Christmas party, as well as many social events throughout the year. We have a daily coffee break and are a Park Run Practice.

We have robust governance structures in place,a formal practice meeting every week attended by clinicians and managers, covering monthly safeguarding, palliative care, learning and significant events.

Job responsibilities

Primary responsibilities

Thefollowing are the core responsibilities of the Practice Manager There may be,on occasion, a requirement to carry out other tasks. This will be dependentupon factors such as workload and staffing levels.

ThePractice Manager is responsible for:

1.Overseeing the day-to-day operations of the practice,ensuring staff achieve their primary responsibilities.

2.Overseeing and authorising practice finances inconjunction with the Finance Officer.

3.Functional management of all clinical andsupport staff.

4.Direct line management of the salaried GPs, ACP,Senior Nurse, Finance Officer, Business Support Officer, Safeguarding &Care Coordinator and all Reception/Dispensary, Admin and Facilities staff.

5.Annual leave booking and cover arrangements forclinicians.

6.All aspects of HR management including:

Managing therecruitment and retention of staff. Reviewing and updatingjob descriptions and person specifications. Implementing effectivesystems for the resolution of disciplinary and grievance issues Maintaining aneffective overview of and ensuring compliance with HR legislation

7.Ensuring all staff have the appropriate levelof training to enable them to conduct their individual roles andresponsibilities effectively.

8. Ensuring the practice has appropriate insurancecover.

9. Maintaining an effective business continuityplan.

10.Coordinating the reviewing and updating of allpractice policies and procedures

11.Leading change and quality improvementinitiatives and coordinating all projects within the practice.

12.Coordinating and leading on the practicedevelopment plan (PDP).

13. Ensuring the team reach QOF targets (supportedby the nursing and administrative leads).

14. Adopting a strategic approach to the managementof all patient services matters.

15.Maintaining effective communication, developing,implementing and embedding an effective communication strategy (internal andexternal)

16.Ensuring the practice maintains compliance withits NHS contractual obligations.

17.Liaising at external meetings as required

18.Marketing the practice appropriately

19 Effectively managing/supporting the managementof all complaints in line with current legislation and guidance

management, maintenance and improvement ofthe premises, including health and safety aspects such as risk assessments andmandatory training.

21.Managing the practice IT system, approvingaccess and delegating staff to act as administrators.

22. Ensuring compliance with IT security and IG andnotification of data Ensuring the practice maintains compliance withits NHS contractual obligations.

Secondary responsibilities

Inaddition to the primary responsibilities, the Practice Manager will be requiredto:

1.Act as the primary point of contact for NHS(E),ICB, PCSE, community services, suppliers and other external stakeholders

2.Manage weekly practice structured meetings.

3.Approve purchases/bookings and online paymentsabove specific amounts.

4.Be the primary/administrator for all onlinesites used in the course of practice day to day business CQC, PCSE,TeamNet etc.
