Job summary

It is the responsibility ofeach receptionist to assist in the smooth running of the Practice in general,and the reception area in particular, and to project a positive and friendlyimage to our patients and other professionals who may contact us either inperson or via the telephone.

Main duties of the job

To ensure that all visitors and telephone callers tothe practice are greeted professionally.

To ensure all telephone calls are managedappropriately.

To manage the flow of patients arriving at thereception desk, for appointments, prescriptions, or queries.

To ensure the clinical staffs receive medical recordsas requested.

To ensure that repeat prescriptions are generatedaccurately and efficiently, within the 48 hours specified by the practice.

To facilitate patients accessing the clinical careprovided by the practice.

To support the GPs and Nurses in providing that care.

To act as first point of contact for anyone accessingthe practice.

Job description

Job responsibilities

Reception duties:

Greeting and booking in or patients for surgeries andclinics.

Dealing with patient enquiries efficiently andcourteously.

Receiving and recording of telephone messages takingappropriate action.

Making appointments on EMIS, by processing appointmentrequests for today, future appointments from patients in person and on thetelephone.

Dealing with all telephone queries/requests from patientsand acting as liaison with the Doctors/Nurses as necessary.

Processing repeat prescriptions.

Taking home visit requests.

Receiving specimens from patients, ensuringall their details have been recorded whilst following Health & Safetypolicy.

Receiving, actioning and workflow ofemails and clinical correspondence.

Tidying waiting room after surgery,ensuring premises are kept tidy between visits from the cleaning staff, tidyand sort magazines and leaflets, discarding old and damaged items as necessary.

Administrationduties:

To have a thorough knowledge of allpractice policies and procedures

To work in accordance of writtenprotocols

Provide administrative support forclinical staff.

Electronic filing of patient recordswhen needed.

Registering new patients followingthe Registration Protocol.

Scanning of documents onto themedical system.

To send letters to patients asnecessary.

Photocopying of notes and otherinformation.

Amending details on EMIS Changeof address, telephone numbers etc.

OtherInformation:

Cover for other Reception teammembers may be required for sickness and annual leave.

Ensuring building security/premisesat the end of the day and ensure the building is totally secured, internallights off and alarm activated.

To carry out any other duties agreedbetween employee and the practice to ensure the smooth running of the practice.

Educated to GCSE level or equivalent

C or above in Maths

Experience
