This vacancy has come at an exciting time following the recent merger between Heswall & Pensby Group Practice and Commonfield Road Surgery on 1st May 2024.

Main duties of the job

The Patient Co-Ordinator willprovide general assistance to the Practice team and project a positive andfriendly image to patients and other visitors, either in person, electronicallyor via the telephone.

This role is responsible forundertaking a wide range of administrative duties which include registeringpatients, booking appointments, ensuring all information is managed correctly,filed and followed up accordingly. To act as the focal point of contact and beresponsible for the dissemination of information, messages and enquiries forthe medical team, liaising with multidisciplinary team members, other healthprofessionals and staff within the practice.

Main Duties and Responsibilities

Each morning; open the building, switch onlights and computers and ensure the rooms are prepared for the day. Each evening; close the building and ensure allcupboards, windows and doors are locked. Respond to requests for assistance frompatients, visitors and doctors. To support and assist clinicians as required. Requesting tests on behalf of clinicians via ICEportal. To be responsible for the management of patientnotes in line with practice procedures.This includes ensuring the records are complete and accurate to the bestof your knowledge. To be responsible for liaising with otheragencies such as the ambulance service, hospital clinics, other practices andcommunity services. Assist with ensuring staff communal areas arekept clean and tidy in accordance with Infection Control Procedures. This may involve playing an active part in thestaff kitchen rota. Take responsibility for maintaining andencouraging adequate security measures locking doors, setting securityalarm where relevant. Keeping up-to-date with Practice Policy andProcedures. Working as part of a team whilst utilising owninitiative. Working flexibly when performing duties associatedto the Patient Co-Ordinator role to ensure business continuity. This may include working between multiplePractice sites as required. Working flexibly to provide cover of staffduring times of absence and sickness.This may include working between multiple Practice sites as required. Assisting and supporting with the training ofnew staff. Support Practice in achieving QOF. Support Practice Supervisors in the day-to-dayrunning of the Practice. Support Management Team in the day-to-dayrunning of the Practice. Carry out any other duties as reasonablyrequested by the Doctors, Practice Manager, Assistant Practice Manager, or PracticeSupervisors.

Qualifications

Essential

3 GCSEs at grade A-C, or a minimum of grade 4, including: Mathematics (or equivalent Key Skills level 2 in Numeracy) English Language (or equivalent Key Skills at level 2 in Literacy)

Desirable

NVQ Level 3 in Administration AMSPAR Medical Terminology Level 2 OCR/RSA Level 2 Word Processing OCR/RSA Level 2 Audio Transcription

Experience

Essential

Experience of working in a public/customer faced role. Experience of working with, and achieving, multiple competing deadlines.

Desirable

Familiarity with ICE and patient electronic records. Experience of working in a GP Practice or other healthcare environment.

Skills/Knowledge

Essential

Access to own car / ability to move flexibly between Practice sites as required. Computer literate. Ability to work under pressure. Plan and organise time effectively. Good communication skills across all staff groups and interact sensitively with patients. Able to work as part of a team. Able to work independently and use own initiative.

Desirable

Experience with using EMIS. Flexible attitude to work.
