Job summary

This is an exciting opportunity for a highly motivated and organised person to join our very busy administration team for the position of clerk typist based in the Haematology Department at Singleton Hospital. Working closely with the admin team, your job will be interesting and challenging.

The successful candidate will have typing experience with strong administrative and IT skills. This post is suitable for those wanting to learn new skills and gain knowledge in a medical secretary role. Working under the direction of the administration manager and alongside experienced medical secretaries will enable you to gain the benefits of their knowledge whilst expanding your experience and medical terminology.

Main duties of the job

Word processing and audio typing of letters, reports and emails as required in line with procedures and agreed timescales; composition of letters. Organise filing, investigations, etc in a complex and changing environment, ensuring that all correspondence is saved to systems in a timely manner. Manage multiple tasks in a timely manner. Using the in-house patient data tracing system (WPAS) to ensure that all patient case notes passing through the office are booked in and out appropriately to the correct location. Requesting and posting blood forms in an accurate and timely manner. Cashing up clinics and booking of clinic appointments. Preparation of incoming and outgoing mail Collecting and distributing referrals, investigation reports, etc in a timely manner Assisting the medical secretaries during times of backlog of typing Covering colleagues due to their absence

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Job responsibilities

Manage multiple tasks in a timely manner. Undertake typing of digital dictation in an accurate and timely manner. Handle data relating to patients of a confidential nature, ensuring non-disclosure of confidential information. The post-holder is expected to provide effective communication by establishing and maintaining positive interpersonal relationships with other staff members. Maintains excellent interpersonal skills when dealing with patients and members of staff at all levels within the Trust at all times. Liaise with other departments as required. Hand delivery of referrals and investigation requests to different departments as required.
