Job summary

To be responsible forundertaking a wide range of secretarial and administrative duties and theprovision of administrative support to the multidisciplinary team. Duties can include but are not limited to,the processing of information (electronic and hard copy) in a timely manner,liaising with multidisciplinary team members and external agencies such assecondary care and community service providers in accordance with currentpolicies, including the use of the electronic referral service (ERS).

Main duties of the job

Thefollowing are the core responsibilities of the medical secretary. There may beon occasion, a requirement to carry out other tasks; this will be dependentupon factors such as workload and staffing levels:

a.Typingletters, reports and associated documentation as requiredb.Liaisingwith external agencies such as hospitals and community services, ensuringreferrals are processed efficientlyc.Manageall enquires in an effective mannerd.Maintainan accurate referrals databasee.Ensureall outgoing mail is posted in a relevant and timely mannerf.Orderingand maintaining stationary stockg.Managementof meeting room bookings and refreshments stock, including liaising withexternal agenciesh.Processcalling letters as requestedi.Inputdata into the patients healthcare records as necessaryj.Processreferrals using the electronic referral system (ERS)k.Readcode data on Systmonel.Answerincoming phone calls, transferring calls or dealing with the callers requestappropriatelym.AnsweringAsk My GP queries appropriatelyn.Manageall administrative queries as necessaryo.Carryout system searches as requestedp.Maintaina clean, tidy, effective working area at all timesq.Supportall clinical staff with general administrative tasks as requested

Person Specification

Qualifications

Essential

GCSE grade A to C in English and Maths

Experience

Essential

Administrative experience.

Desirable

Experience of working in a GP practice
