The Role
The Logistic Coordinator and Account Receivables support will directly report to the Finance Manager UK.
The Logistic Coordinator and Account Receivable support accomplish and oversee the Logistics departments, manage the operations, warehousing, inventory, and supply chain from Italy to the U.K.
The candidate will work closely with the accounting team for account receivables tasks.
Main activities:
Logistic/operation Monitor the shipments of goods from Italy to the UK. Perform the goods receipts into the system (Navision) and subsequently post the intercompany invoices, making sure the invoices are matching with the purchase orders. Liaise with the external logistic partners providing the information (purchase order number, sales order number, copy of delivery note and salesperson reference) about the goods coming into the UK from Italy. Monitor the direct shipment from Italy to customer’s warehouse, collecting the proof of delivery provided by the logistic partner. Monitor the delivery and installation to the final clients on daily basis. Manage customs documents for export and/or for returns to Italy, liaising with external partners. Enter purchase order into the system, when necessary, and provide support to the sales team in case of issues. Provide support to monitor the inventories in warehouse and showrooms. Support the sales team in entering the goods’ transfer orders in the system. Organize and manage the periodic stock take in all the locations. Make sure that the physical count corresponds with the virtual locations in the system. Monitoring and evaluating the local UK logistic suppliers. The candidate will directly manage the operations with the local suppliers. Plan, organize and execute logistic and supply chain processes for the showrooms. Provide costs and logistic/storage analysis. Review weekly and monthly invoices received by suppliers, with details by single delivery. Organize call with clients to schedule deliveries, if needed Maintain record keeping track of the daily deliveries to customers.
Accounts receivables Ensure all shipped orders are billed, raising sales invoices and credit notes where necessary. Provide support to the sales team making sure the sales orders are always aligned to the purchase orders to the factory. Support the Finance Manager in the sales forecast estimates (monthly basis).
Qualifications for the role: Bachelor’s Degree in Logistics or equivalent fields At least 3/4 years of Operations and Accounting experiences Proficient in Microsoft Office suite, good knowledge of Excel is mandatory Technical and Soft skills: Good English knowledge is mandatory. Knowledge of Italian would be an advantage Able to work independently and perform at a high level of accuracy Flexible to adapt to evolving scope of duties A self-starter, adaptable person with problem solving mentality Confidence to ask questions and/or seek solutions when required Desire of ongoing learning Excellent organizational skills Problem solving skills
