Job Description

This is not your typical Receptionist role We need someone to take control of the 9th floor of the building, which is home to multiple global teams, including members of our EMEA Senior Management Committee. You will confidently oversee office operations across these various teams, helping us all to work in harmony and create a professional and dynamic workplace. On a daily basis, you will deal with staff from all over the World, but yours will be the one familiar face they all know and trust.

We are seeking a reliable individual with a ‘can do’ attitude. If you’re a self-starter with exceptional follow-through, strong communication skills, and a knack for organization, you’re exactly who we’re looking for. We need someone who thrives in a team environment and takes direction very well. If you’re not afraid to roll up your sleeves and get your hands dirty, this is the job for you.

Responsibilities:

It’s a given that you will do the basics brilliantly and proactively. These responsibilities include:

Ensuring a seamless visitor experience; booking in visitors with Building Management, welcoming guests and staff at reception in a friendly and attentive manner, escorting guests to their meetings rooms and ensuring they have everything they need. Being the front of house contact for both internal and external stakeholders. Taking ownership for the efficient running of your designated floor; managing stationery supplies and budget, ordering mobile phones, couriers and taxis, distributing post and organising staff lockers. Liaising with hospitality, facilities, and staff to ensure all meetings taking place on your floor are accurately booked, set up, and any catering requests are delivered. Communicating key messages across your floor and maintaining an accurate distribution list. Assisting in the logistics of any events taking place on your floor, plus helping the teams to organise seasonal events/parties. Ensuring meeting room equipment is functioning at the beginning of each day and supporting the setup of AV equipment to internal meeting rooms (e.g. TV, laptops, Audio Conference, Video conference, flip charts, presentation boards). Giving new starters a tour of your floor, ensuring they have everything they need from day one, and answering any queries they may have regarding the operations of the floor. Contributing to our building-wide ‘one team’ approach through working with other floor concierges and the wider PA community.

The tasks that will elevate you to the next level include:

Providing adhoc administration support to the most Senior Executives who regularly visit from our international offices, being the familiar person they can rely on. Building strong relationships with the PA team on your floor, offering occasional support for miscellaneous tasks – this could be anything from ad hoc research projects, collecting parcels, booking meeting rooms and couriers, printing documents, or helping with complex travel arrangements. Being the lynchpin of the entire floor – knowing everyone and being the friendly face they can trust. Constantly seeking ways to improve the service you are providing, ensuring the floor is an efficient place to work.
