In this exciting role, you will be working directly to support the Chief Medical Officer in this key role within NHSBT.Your previous knowledge, skills and expertise will enable you to work independently to exercise your initiative and discretion in developing the role and the support to the department lead and our key internal and external stakeholders across the NHS.

Working within the directorate, you will have the opportunity to engage with a diverse range of people to drive performance. Main duties of the job

In this role you will In this role you will provide a comprehensive Executive Assistant service to the Chief Medical Officer. Your responsibilities will include:

Supporting the Chief Medical Officer: arranging, planning, and minuting meetings and ensuring management of related documents. Being competent in managing and understanding sensitive documents. Supporting and contributing to the management of meetings, collating, and reviewing documents and acting on behalf of the Chair within defined levels of delegated responsibility. Liaising with external agencies ( other NHS organisations and government bodies) and internally at Executive and Board level. Supporting the Clinical Services Directorate Senior Management team and undertaking projects. Where required, providing support and cover for the Chief Medical Officer (CMO) Office team providing support to the Clinical Services Directorate SMT, which will include diary management, drafting documents and other administrative tasks.

Qualifications

Essential

NVQ 4 in a business subject or equivalent qualification OR equivalent relevant experience plus experience in a Personal Assistant role working for senior management/Executive teams. Educated to OCR (RSA) level II or equivalent qualification / experience. Demonstrates commitment to own continued professional development (CPD).

Experience

Essential

Previous experience of staff management and the ability to translate, including taking responsibility for staff induction, training, workload allocation, appraisal, and development. Experience of taking minutes at Board or equivalent level meetings where topics can be introduced with intricate and wide-ranging discussions, and to transcribe accurately. Good basic knowledge of relevant statutory directives, Data Protection Act, Freedom of Information Act, Equality and Diversity Directive. Ability to analyse and present a wide range of management information. Previous experience of working with Senior Management in an advanced secretarial or administrative post. Experienced in the use of specialised IT packages such as MS Office suite, Qpulse, Visio, Publisher, as appropriate to the post.
