We have an exciting and challenging opportunity for you to provide professional support within the Electricity Transmission (ED) finance team, National Grid.

Our Personal Assistants play a crucial role supporting our CFO’s by; proactively managing diaries and emails, organising travel and accommodation, and understanding and prioritising key activities to assist in achieving deadlines. As PA you will also co-ordinate meetings, seminars, and conferences with both internal and external attendees and arrange key strategy meetings, including Direct Report and team meetings, compile agendas, book locations, attend and take minutes where required.

We are specifically seeking a highly organised, forward-thinking self-starter with excellent communication skills who can work in an ever-changing environment. You will have the ability to work on your own initiative and be confident but in a professional and discreet manner.

This role is based out of our Warwick office, and we’d hope to see you at least two days per week but you’re welcome to be in the office more often if that would work best for you. We’re happy to discuss any additional flexibility in working patterns or requirements that you feel could help to make this job work for you

What You'll Do

Working closely with the wider PA team to collectively coordinate diaries for group meetings and ensure smooth running of the team. Arranging domestic and international flights, accommodation, ground transfers, trains, taxis, restaurants, visas, and other travel documents for the CFO as well as arranging meetings / dinners while the CFO is travelling. Preparing for meetings, which includes gathering and printing all necessary documents and agendas as required. Screening telephone calls, taking messages and responding to queries. Coordinating meetings, conference calls, and interviews. Supporting with organising onsite and offsite meetings, conferences and events including venue finding and managing, catering, IT/AV, flights, travel, transfers, and other related duties to ensure the events run smoothly and successfully. Checking, filtering, forwarding, or replying to emails and correspondence addressed to the CFO. Compiling and submitting expense reports for the CFO. Processing invoices relating to the CFO and the CFO cost code. Maintaining a forward planning “virtual file” with daily and weekly files, documents, pack and agendas for meetings. Receive, prioritise, acknowledge, and answer incoming mail and routine enquiries. Act as the first point of contact to support the resolution of queries and issues. Respond to stakeholders. customers and internal queries relevant to the CFO to ensure immediate response to issues raised.

What You'll Have

Demonstrable experience of working as a PA for senior leaders and managers where there are competing demands on time. Comfortable in building relationships and networks with a wide range of stakeholders. Proven ability to handle confidential and sensitive information. Experience in working with and handling communication/contact with senior leaders both internally and externally. Demonstrates an ability to work in a clear, calm, and structured manner.  Highly organised, effective prioritisation and forward-thinking. A strong working knowledge of Microsoft Applications: Word, Excel, and PowerPoint.  Ability to work productively within immediate and wider teams.
