Job overview

To provide a high quality and professional Materials Management service throughout the Trust ensuring appropriate levels of stock and supply routes for products that are selected and used. Assist the Supplies Team Leader in managing the Materials Management and Receipt and Distribution Team on the relevant site, maximising the benefit to the Trust of the service. To assist in the provision of a high quality and professional procurement service on the relevant site. Act as deputy in the Supplies Team Leaders absence for the team and Stakeholders.

Main duties of the job

Assist the Supplies Team Leader in over seeing daily operations, cover in their absence. Support and contribute to the development and implementation of the Trust's Procurement strategy and identify and investigate opportunities to extend the Materials Management service. Assist in stock audit & checks. Actively participate in and support the product appraisal and evaluation and assist with the coordination of products for trials on Materials Management items. Develop and maintain relationships with all key stakeholders in collaboration with the Supplies Team Leader. Maintain the reputation of the procurement service as a highly professional and enabling business partnering service.

Main Duties and Responsibilities

Communication

Assist the Supplies Team Leader in over seeing daily operations, cover in their absence. Service Delivery and Improvement

Ensure the effective and efficient delivery of a high quality Materials Management service maximising the benefit of the service to the Trust. Coordinate with Supplies Team Leader to ensure best practice for inventory management – stock rotation, supply route, optimum stock levels, effective and timely stock taking for all items on Materials Management and procurement of goods to obtain best value for money for the Trust, working within the public sector policy and legal framework. Undertake reviews of stock holding on a regular basis and as directed by the Supplies Team Leader to determine if any changes are needed to stock levels. Purchase goods to obtain best value for money for the Trust, working within the public sector policy and legal framework. Support the location / relocation of stock for existing and / or new wards / areas through timely decanting / priming of ward storage areas. Ensure items, relevant to the post and areas supported, are receipted on to the purchasing ordering system. Deliver items, relevant to the post and areas supported, to the ward/departments ensuring that appropriate records are kept of such deliveries. Ensure goods requiring return to suppliers are dealt with swiftly and in accordance with set procedures. Assist the Supplies Team Leader in liaising with internal departments, NHS Supply Chain and external suppliers regarding product changes and changes to product availability. Service Delivery and Improvement throughout the Trust to ensure the Materials Management service is maximised. Ensure appropriate Materials Management stock is available to facilitate patient care. Seek alternative products, subject to clinical acceptability, as required either through shortage of supply or as part of an initiative for example in support of product evaluations. Use computer systems, personal digital assistants (PDA) for bar code reading and manual equipment to move goods. Exercise delegated budgetary authority to manage all items provided through the Materials Management Service for wards/departments relevant to the post. May authorise purchase orders in line with Trust Standing Financial Instructions and Delegated Financial Limits. Coordinate with Supplies Team Leader in the training and mentoring of the Supplies Team on the relevent site. Assist in training and mentoring of the Supplies Team, ensuring compliance with NHS Regulations. Acting a focal point for Product recalls and large returns of products to suppliers.

People Management and Development

Provide guidance to ward / departmental staff on optimum use of storage space for items on Materials Management.

Patient Care Delivery

Provide assistance to patients and visitors during incidental contact. Liaison and engagement with patients, patient representatives and patient advocates on specific projects as part of stakeholder engagement.

Learning and Development

Attend mandatory training updates as required. Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process. Achieve and demonstrate agreed standards of personal and professional development within agreed timescales. Identify own learning needs and jointly plan training requirements with your line manager Participate in the Trust’s appraisal process to discuss how your role will help deliver the best possible care to our patients and help to deliver any changes in service.
