Job summary

Main duties of the job

Duties will include but notlimited to:

Acting as a point of contact for teams, dealing andresponding effectively with complex queries from stakeholders and passing onrelevant information to appropriate team members sensitively and autonomously.

Developing and maintaining effective electronic filingsystems, to ensure that information is kept securely and is accessible to othermembers of the team.

Preparing agendas, taking minutes, and distributingnotes of meetings

Working with all team members in the collection ofinformation for performance reporting on relevant projects.

Maintaining project documentation including ProjectPlans, Highlight Reports, Risk and Issues Logs.

Job description

Job responsibilities

Key Purpose of Job:

To provide robustadministrative support for a variety of projects in the Urgentand Emergency Care & System Flow team and Transformation Directorate.

To enable Clinical ProgrammeGroups (CPGs) to deliver their priorities through a Clinical Programme Approachby completing various project support functions.

The job descriptionand person specification are an outline of the tasks, responsibilities andoutcomes required of the role. The jobholder will carry out any other duties as may reasonably be required by theirline manager.

This job description and person specificationmay be reviewed on an ongoing basis in accordance with the changing needs ofthe Directorate and the Organisation.

Key Responsibilities:

Project Support

Organising, attending,and minuting project meetings and other related CPG meetings as appropriate.

Organising, attendingand helping to run workshops as appropriate.

Maintaining projectdocumentation including Project Plans, Highlight Reports, Risk and Issues Logs.

Completing projectresearch as required.

Updating projectbudget spreadsheets as directed.

Typing up flipchartsand collating any relevant feedback.

Provide comprehensiveadministrative support to the System Control Centre and Integrated Flow Hub

Supporting any projectevaluation work.

Any other projectsupport as required.

Person Specification

Qualifications

Essential

Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience. Significant administrative experience including initiating and maintaining office systems. Experience in dealing with the public and dealing with sensitive and confidential information. Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, Powerpoint. Understanding of Confidentiality and Data Protection Act. Ability to demonstrate how work contributes to the delivery of projects.

Desirable

Knowledge of NHS issues. Experience of working on projects.
