We are seeking a Materials and Fleet Co-Ordinator to join our Property Care team.

The role is responsible for the procurement, distribution and auditing of materials and the management of the fleet of vehicles, ensuring efficient operations and compliance with safety standards.

The ideal candidate will collaborate with various departments to forecast material needs, manage inventory levels, oversee supplier relationships, and ensure vehicles are maintained and used effectively.

Your responsibilities will include: 

Materials Management

  • Act as the main point of contact for planning teams regarding materials ordering, delivery scheduling, and goods receipt.
  • Ensure timely updates to maintenance and service records for all properties, adhering to company policies for compliance.
  • Facilitate communication between trades staff and material suppliers to ensure efficient work scheduling.
  • Process supplier invoices, ensuring accurate cost coding and monitoring of supplier performance.
  • Maintain optimal inventory levels to meet operational needs, conducting regular audits and implementing inventory management systems to track stock.
  • Collaborate with department leads to forecast material requirements and work closely with suppliers for efficient storage and distribution.

Fleet Management

  • Oversee daily fleet operations, ensuring vehicle availability and regular maintenance, inspections, and repairs.
  • Maintain records of vehicle maintenance and inspections, and develop policies for vehicle usage.
  • Monitor vehicle usage and mileage to ensure optimal fleet utilisation and prepare performance reports.
  • Manage fuel usage records, monitor costs, and identify opportunities for efficiency improvement.
  • Ensure fleet compliance with relevant laws and safety standards, conduct audits, and manage relationships with vehicle suppliers and service providers.

People Management Responsibilities

  • Foster professional relationships across the department, creating a one-team culture.
  • Conduct vehicle and driver risk assessments, ensuring health, safety, and policy compliance.
  • Efficiently allocate material and vehicle resources.

Essential Requirements

  • Excellent communication skills with the ability to empathise in difficult situations.
  • Strong organisational skills with the ability to prioritise workloads.
  • Full manual driving license with the ability to drive large panel vans and flatbed vehicles.
  • Proficient in Microsoft Office Suite (particularly Excel for data analysis).
  • Possess basic building and vehicle maintenance knowledge.
  • Strong knowledge of vehicle and materials maintenance procedures.
  • Experience in a busy office environment with clerical and administrative responsibilities.
  • High standard of academic achievement (at least GCSE A-C/5-7 in Maths and English).
  • Willingness to work flexibly to meet the needs of the business.
