NHS Dorset is seeking an enthusiastic, committed andself-motivated Administrator to work within our Personal Health CommissioningTeam on a 6 month fixed contract, as a member of the Administration team youwill play an essential role in supporting our internal clinical teams,individuals and their families, care services and Local Authority.

The work is varied, complex and demanding with an emphasison accuracy, adaptability and the ability to prioritise competing workloads,you will have the skills to work independently or part of our supportive teamworking alongside you to help and support you along the way.

Successful candidates will have a workingknowledge of Microsoft office packages such as Word, Excel, Outlook andMicrosoft Teams or similar IT packages alongside excellent communication skillsboth written, face-to-face, over the telephone and via video calls. Previousexperience and understanding of dataprotection legislation would also be beneficial.

Main duties of the job

As an Administrator in NHS Dorset the successful applicant willundertake various tasks on a daily basis to include;

Provide administrative support toa number of clinical services, processing referrals and updating patientinformation Arranging and booking annualreviews in a timely manner to include management of clinical colleaguescalendar. Draftingand sending assessment outcome letters Be a point of contact for patientsand professionals, providing a route of communication to the clinical teams andsharing guidance as necessary Receivingand actioning day to day queries by telephone and email. Respond appropriately to unexpected and challenging situationswhich may include contact with patients in emotional situations Creating and maintainingelectronic records, databases, spreadsheets and filing system General office duties such asphotocopying, scanning, printing documentation and undertaking post duties

The successful candidate hasthe ability to work from one our offices based in either Poole or Dorchester orto work virtually from home. There is an expectation to work from either officeon a regular basis to undertake post duties.

NHS Dorset will provide theappropriate IT equipment to assist in completing all relevant tasks however thesuccessful candidate should have a suitable home environment in which to workfrom.

The working hoursfor this vacancy is Monday to Friday9-5pm.

The post holder will play a key role in supporting the Personal Health Commissioning (PHC)service. Working within the remit of the National Frameworks for Continuing Healthcare, the post holder will deliver an effective and competent level of clerical support and consistently deliver a client-focused service.

The post holder will be required to work under their own initiative as well as working as part of the wider administration team and will demonstrate a willingness to help others and be a key member of the team with responsibility for specifically allocated tasks. The post holder will be expected to follow set processes, prioritise their own workload and demonstrate initaitive in order to fulfil the requirements of the post. Excellent interpersonal skills and communication skills are essential plus an ability to deal with highly sensitive and confidential information.

The post holder will be the initial point of contact in the office and must have competent ICT skills including word processing, database inputting and diary management skills.

The post holder must have a flexible and adaptable approach to their work in order to meet demanding deadlines and have the ability and resilience to regularly deal with a range of routine and non-routine administrative tasks as required to deliver an efficient and effective service.

Awareness of a range of health services provision Able to provide and receive routine information, barriers to understanding /provide and receive complex and sensitive information Able to exchange information with patients, family members and providers requiring tact and empathy and communicates complicated information to staff from other departments and external contacts Clear communicator with good writing, data entry and telephone skills, ensuring accuracy Able to work effectively as part of a team Able to make judgements involving facts or situations, some requiring analysis on how to deal with enquiries Able to work to own initiative, organising and prioritising own workload to set deadlines Follow policies in own role. May be required to comment/implement policies and propose changes to practices and procedures for own area Accurate data entry and text processing from documents onto bespoke database and secure and accurate storage of data
