Student Admissions Officer - 2 posts available

The Student Admissions Officer will be part of the Tavistock and Portman's postgraduate Student Admissions Team reporting to the Senior Student Admissions Advisor. This post is one of two Student Admissions Officers, who will work closely with two Admissions Advisors and two Senior Student Admissions Advisors. The post holder will provide support with enquiries relating to a range of postgraduate courses on offer at the Trust.

Main duties of the job

The post holder will have responsibility for assisting in the daily activities of student admissions, from receipt of an application until an applicant enrols on the course. The post holder will be expected to handle enquiries from applicants evaluating the suitability of courses to meet their specific needs, and will often be the first point of contact for someone looking to study at the Trust. The post holder will also be expected to provide key information on request, including course application deadlines and expected response times for applicants who have submitted an application.

The post holder will work on guiding applicants through the admissions process and assist in ensuring that application data is accurate.

The Student Admissions Officer will also be expected to be engaged in the delivery of online and in-person recruitment events, such as Open Days.

We offer a wide range of mostly postgraduate-level courses in child psychotherapy, adult psychotherapy, organisational consultancy, social work, and many other related fields. With well over 1000 applications submitted every year, the Admissions team is responsible for assisting prospective applicants at every stage from initial enquiry through to offer acceptance.

Job responsibilities

Be the first point of contact for applicants to the Trust, directing them to appropriate support as required. Process enquiries from potential students by telephone, email, Student Records System (MyTap), and in person, providing timely and accurate advice to resolve standard queries and direct more complex queries to appropriate staff members. Provide accurate advice to applicants and colleagues on relevant regulatory matters, such as qualification equivalencies, as well as course closure dates. Assist in evaluating applications to make initial decisions in a timely way, including advising applicants on alternative courses or ways forward where they do not meet the entry requirements. Maintain detailed data on assistance provided throughout the application cycle. Assist in the managing of the application process including receiving application forms through MyTap, ensuring these are progressed in a timely manner by course teams, and monitoring the stages in the admissions process to facilitate good progress against targets and to ensure a high standard of service for applicants and colleagues. Monitor reference requests and assist with queries to manage any barriers to completion. Proactively contact applicants signed up for events to remind them and encourage them to attend. Provide course information, holding relevant knowledge and ensuring that this knowledge is maintained and updated as required. Be active in helping students identify the range of courses that may meet their experience and qualifications. Assist in ensuring that recruitment data is accurate, working in consultation with Trust colleagues. Identify any areas of concern with data completion and accuracy for applicant records after the closure of the enrolment period. Assist in providing complex and sensitive admissions data to illustrate progress against targets and relevant narrative such as trends and issues to colleagues at a variety of levels. Where appropriate, ensure that all student information is recorded on SITS (the Student Records System) as the Division's primary source of student records, including logging application outcomes. Proactively contact applicants to ensure the movement of applications through SITS, especially applicants holding offers to join a course. Disseminate materials to applicants who have accepted unconditional offers, maintaining a relationship with the Trust prior to enrolment. Undertake evening and weekend working as required for events, courses, or conferences in support of student recruitment. Work flexibly and in collaboration with the other teams in Professional Services and in the wider Trust. Represent the Trusts values and promote the benefits of studying at the Tavistock and Portman.

Qualifications

Essential

A Level qualifications, NVQ Level 4 or equivalent experience.

Experience

Essential

Experience working with data, ensuring records are accurate and providing timely information to colleagues

Desirable

Experience in a sales or customer services role.

Skills

Essential

Ability to work with IT systems, with an ability to navigate around software packages, such as Outlook, MS Office, and databases. Able to manage time effectively to ensure completion of tasks. Excellent communications and customer services skills.
