Crest Nicholson have an exciting opportunity for an experienced Administrator / Document Controller to join our Special Projects team as a Group Production Administrator on a Fixed Term Contract Basis.


Key Duties & Responsibilities involved:


  • DLUHC data, Master Schedule – excel – strong attention to detail and focus on data with the ability to filter through relevant information when needed by team members. Needs a good understanding of what the schedules show and why - and how to use the data in support of the team.
  • Building Safety Inbox – email – good communication and customer care with mortgage letters. Time management on making sure a response goes back to the customer within 10 working days. Communication with project managers/project lead on information on queried buildings.
  • Written communication – ability to draft simple letters in good English (for subsequent checking by the team ahead of issuing).
  • Presentable – sometimes attends external Teams meetings with Government in support of ND when discussing data returns.
  • Confident enough to be sufficiently persistent with team members to get things out of them when required.
  • Make telephone call to/receive calls from customers, management companies etc. Organise internal and external meetings.
  • COINS – finance/invoicing – liaising with line manager and project managers/project lead on updating POs to the correct finance. Cross checking fee proposals, schedule 3s and emails to ensure that correct information is provided. Being able to raise payments with accounts and matching outstanding invoices to the correct PO and sending to accounts for processing.
  • Administration – good time management and organisation skills in helping the team with setting and liaising with external consultants for meetings. Again, good customer care and communication skills for when reception forward call to the building safety team. Standard information on the SRTs to ensure that any simple questions regarding our buildings in scope can be answered. Organisation skills in filing away important documents when received i.e. email correspondence, consultant proposals, agreements etc.
  • Replicon – being able to monitor team members recording hours on projects and downloading reports weekly.
  • Grapevine – act as Special Projects’ administrator for Policy Hub/Grapevine.
