We’re delighted to be partnering with a prestigious University to hire an Executive Assistant. It’s the perfect role if you’re proactive and like variety as you’ll get involved in wider administrative duties. Part of the role supports the Associate Vice President, making sure any documents/minutes are accurately created while the other part is creating a great customer experience to guests. The role offers plenty of scope to make it your own.
What you’ll be doing
Here’s a flavour of what you’ll be doing as an Executive/Receptionist
- Scheduling and arranging logistics for meetings, including Board meetings, Trustees meetings, Campus staff meetings, and Committee meetings including assembling all relevant documentation
- Prepare meeting agendas, manage minutes, identify and bring forward any items for upcoming meetings
- Advise, recommend and manage the Associate Vice President’s schedule
- Provide reception support including taking calls and greeting guests
- Assist the AVP in monitoring the HR management platform
- Arrange travel/hotel bookings for the AVP Administration
- Complete exit surveys for all student groups and provide a follow up action plan for any improvements
- Provide secretarial support to the AVP when required
- Distribution and collation of Scholarship Trust applications
- Manage stationary provisions for the office and open/distribute post
- Act as the fire safety officer and arrange for fire drills to be completed each semester
- Meet and greet visitors, providing a comprehensive overview of the University where required
- Collating data and creating reports on an ad hoc basis
What you’ll need to show to be successful
- Experience as a PA/Executive Assistant providing top-level assistance
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- Proficient in Microsoft Office suite
- Proactive and able to work on your own initiative
- Comfortable working in an agile way with flexibility to take on new tasks
- Enjoy autonomy and responsibility and act professionally
