Job Summary:


The Data Protection Assistant will support the Data Protection Officer in various aspects of data protection across the organisation. This junior role is designed for someone eager to develop their skills in data protection and privacy. Key responsibilities will include assisting with data subject rights requests, helping to conduct data protection impact assessments, supporting training initiatives, aiding in acquisition due diligence and onboarding processes, reviewing contracts under guidance, managing ICO registration, and assisting with data breach incident handling. The role also involves preparing management reports, offering basic advice and support across the Group, carrying out general administrative tasks, and helping to manage records of processing activities, along with other related duties as needed.


Key Responsibilities:

Data Subject Rights Requests:

Support the team in responding to data subject rights requests (DSARs) in a timely and compliant manner.

Help maintain accurate records of requests and responses.


Data Protection Impact Assessments (DPIAs):

Assist in the preparation of DPIAs for new projects and processes under supervision.

Support the monitoring and review of DPIAs to help ensure ongoing compliance.


Training and Awareness:

Provide assistance in the development and coordination of data protection training programs for teammates.

Track training completion and gather feedback to help assess effectiveness.


Acquisition Due Diligence and Onboarding:

Participate in data protection due diligence activities during acquisitions by providing support and assisting with documentation.

Aid in the onboarding process to help ensure data protection compliance..


Contract Reviews:

Assist in reviewing data protection clauses in contracts, working closely with senior staff for guidance.

Help maintain records of contract reviews and approvals


ICO Registration Management:

Assist in the management of the Group ICO registrations and ensure they are up-to-date.

Handle communications and reporting to the ICO as required.


Data Breach Management:

Provide assistance in identifying, reporting, and managing data breaches, under the direction of senior team members.

Help maintain records of breaches and track remediation actions.


Management Reporting:

Assist in the preparation of regular and ad-hoc reports on data protection activities and compliance status for management review.


Advice and Support:

Assist in providing basic advice and support on data protection issues to teammates across the Group, escalating complex queries to senior staff.

Help manage internal requests for data protection guidance.

General Administration Support:

Perform general administrative duties to support the Data Protection Officer.

Organise meetings, prepare agendas, and take minutes.


Records of Processing Activities (RoPA) Management:

Assist in the management of maintenance and update records of processing activities.

Ensure accuracy and completeness of RoPA.


Additional Duties:

Assist with any other data protection-related tasks as required.

Stay informed of changes in data protection laws and best practices.


Qualifications:

Previous experience in a similar role or within data protection is highly desirable.

A good understanding of GDPR and other relevant data protection regulations is preferred.

Strong organisational and administrative skills are beneficial.

Attention to detail and the ability to handle sensitive information confidentially are advantageous.

Strong communication and interpersonal skills are preferred.

Proficiency in Microsoft Office Suite is an asset.
