My client is a fascinating, well established, med-tech firm that has created an innovative and never seen before product. They are currently established in the USA, Canada and are in conversation with the NHS to bring the product to the wider market in the UK. Based in the heart of The City, this role offers one day WFH and a competitive benefits package (25 days holiday, private health care etc.)

We are looking for an experienced EA to join the team as the sole support with an emphasis on supporting the Head of Finance (SLT). This is an exciting, fast paced role that needs someone bright, adaptable with a muck-in attitude. In summary, the role is a detailed, traditional senior EA role. In addition to supporting the head of finance, you also will be providing ad-hoc support the wider team and managing the small office (12 ppl). We are ideally looking for a candidate that has had experience in marking up and reviewing legal documents if possible.

  • Manage the executive's calendar and schedule appointments, meetings (physical location & online), and travel arrangements (including the booking of flights and accommodation), considering priorities and time constraints.
  • Screen and prioritize phone calls, emails, and other correspondence, handling them promptly and professionally.
  • Message stakeholders on the executive’s behalf and liaise with business partners.
  • Prepare and edit documents, reports, presentations, and correspondence, ensuring accuracy and adherence to organizational standards.
  • Marking up any legal contracts (distribution, licensing, service agreements etc.)
  • Coordinate and arrange Board and other meetings including events
  • Laise with internal and external stakeholders, including clients, suppliers, and colleagues, to facilitate communication and coordinate activities.
  • Assist in preparing and monitoring budgets, expense reports, financial documents, assisting with bank reconciliation and submitting and reviewing staff expenses.
  • Assist in preparing investor and internal slide decks
  • Perform general administrative tasks, such as ordering supplies, managing office and exhibition equipment, processing invoices and expenses, maintaining international tax calendars.
  • Organise contractors as required, scheduling fire and health and safety checks, maintaining the relationship with the building landlord.

Prerequisites:

  • Advanced excel and PowerPoint skills
  • Comfortable reviewing legal documents.
  • Able to work well under time pressure
  • Adaptable with high attention to detail
  • Flexibility and adaptability to handle changing priorities and multiple tasks.
  • Discretion and confidentiality
