Momart is the leading specialist fine art storage, transport and installation for artists, collectors, galleries and museums around the world.

We’re now hiring a project manager for our Exhibitions Department who will be responsible for managing the successful delivery of projects for UK and international museum clients, and shall also take an active role in client account management.

The Project Manager is required to organise Momart’s operational services, including: road, sea and air transport; case making and packing; warehouse handling and artwork installation. The Project Manager shall be the main point of contact for the client and will manage shipping and customs documentation, budgets and invoicing for their allocated projects. The role shall also include mentoring of other staff within the department.


Salary up to £40k depending on experience.



Core Responsibilities

Project Managers are required to manage a number of project files simultaneously, and will need to balance client and lender requirements for each project, alongside internal and regulatory deadlines which may apply. The role requires an understanding of, and ability to adhere to industry legislation, such as Customs Procedures, Export Licencing and Aviation Security. Managers should demonstrate an ability to explore the most cost-effective coordination of resources, and will be expected to gain familiarity with pricing for applicable services. Project Managers shall be responsible for managing and communicating any changes to the project’s scope to all stakeholders. The Project Manager will also be required to follow up on new enquiries or those from their allocated accounts in order to identify new business opportunities and develop client relationships.


Day to day tasks

Projects

· Review and take on new files in agreement with the Head of Exhibitions / Exhibitions Manager

· Engagement with Momart Project Estimator to ensure comprehensive understanding of new files before commencing work

· Liaison with clients, lenders, internal departments and third party suppliers regarding scheduling of services as required for specific projects

· Manage changes to the delivery scheduling and budgets, ensuring clear communication of those changes to all affected parties

· Production of internal documentation and submission of external application forms, permits and documents in accordance with Customs and other applicable regulations

· Engage with the forward planning team to assist with tender submissions and estimate revisions, including Framework agreements for key accounts


Administrative and finance

· Usage of Momart’s bespoke Art Management System to book and track all services as required to complete the job

· General administrative duties and housekeeping related to project files or as required

· Checking of clients’ financial status and engage with finance team to set up new accounts

· Ensure projected revenue information and workload data is accurate and report changes to line manager / Head of Exhibitions

· Ensure sales invoices are completed to deadline

· Assist with solving credit control problems when queries arise

· Review and authorise purchase invoices from suppliers on each job, including overseas agents.

· Report on account activity and recent opportunities


Client and internal engagement

· Take on responsibility for new client accounts, as agreed with Management team (*see Account management specification / framework)

· Engagement with Estimating team to identify and pursue new business opportunities

· Delegation of tasks to assistants and providing support to managers in training new staff

· Mentoring staff within the department (*see mentor specification)

· Interview potential staff and support the management team with on-boarding

· Arrange, attend and contribute to client and departmental meetings

· Represent Momart at industry events and conferences

· Attend or undergo relevant training as may be required

· Demonstrable experience formulating and monitoring budgets

· Some experience in managing client relationships

· Experience of staff supervision or mentoring

· Excellent organisation and time management skills, with the ability to multi-task and prioritise workload

· Ability to maintain high quality service, while remaining calm & focussed in a high-pressure environment

· Demonstrates a good understanding of Momart’s security programme and their role in it.

· Assists colleagues, customers and suppliers in resolving security issues and escalating where necessary
