Job Summary: The Procurement and Fleet Manager will oversee the procurement of goods, services and equipment, ensuring cost-efficiency, quality, and timely delivery. This role also involves managing the company's fleet of vehicles, ensuring their maintenance, compliance, and optimal utilisation. An electronic/engineering background is required with experience in purchasing.

Key Responsibilities:


Procurement

  • Develop inventive and cost-effective procurement strategies.
  • Source and negotiate with reliable suppliers and vendors to secure advantageous terms.
  • Review existing contracts with suppliers and vendors to ensure ongoing feasibility.
  • Build and maintain long-term relationships with vendors and suppliers.
  • Approve purchase orders and organize and confirm the delivery of goods and services.
  • Perform risk assessments on potential contracts and agreements.
  • Control the procurement budget and promote a culture of long-term savings on procurement costs.
  • Oversee and manage IT systems that track shipments, inventory, and the supply of goods.
  • Prepare procurement reports.
  • Manage stock across all locations to optimize operational efficiency and inventory levels.
  • Oversee the daily activities of the purchasing team, including task delegation and supervision.
  • Organize and run quarterly stock takes for the warehouse and remote stock locations.
  • Establish quality control measures to ensure stock meets company standards.
  • Monitor supplier performance to ensure timely deliveries of correct items and services.
  • Ensure goods are correctly received and recorded in the database.
  • Identify and manage high volumes of stock to determine best practices.
  • Collaborate with the Finance team and end-users to improve purchase order and goods receipt processes.
  • Build and implement subcontractor performance and management systems to support the Operations Management team.

Fleet

  • Procure vehicles through lease, purchase, or other means according to company requirements, maintaining this ongoing around lease renewals and mileage limitations to avoid financial penalties.
  • Register, obtain licenses, and insure the company’s vehicles.
  • Secure vehicles, drivers (during work-related activities), and relevant assets.
  • Partner with reputable repair and maintenance shops in favorable locations.
  • Oversee and schedule vehicle inspections, maintenance, and servicing to minimize downtime.
  • Maintain all vehicle information and inspection records.
  • Securely store driver records.
  • Reduce unnecessary expenses and increase fuel efficiency.
  • Ensure fleet compliance with applicable regulations.
  • Analyze fleet performance data and implement improvements.
  • Report fleet performance and finances to upper management.
  • Source and negotiate the best commercial insurance coverage for the fleet.
  • Source and negotiate the best commercial fuel purchasing, considering driver base and coverage areas.
  • Implement real-time vehicle location tracking.
