The Role

We are looking for an experienced building manager to oversee the daily operations of our London Head Office. You will be responsible for ensuring the safety and security of building tenants, coordinating and managing maintenance and repair activities, and liaising with vendors to ensure smooth daily building operations.


To be successful as a building manager, you should have excellent organisational and project management skills and ensure that your assigned properties are in compliance with applicable regulations and building codes. A top-notch building manager should be able to respond to and resolve any issues reported by tenants efficiently.


Responsibilities


Repairs and Maintenance

  • Oversee the logging and prioritisation of all reactive maintenance issues in the head office
  • Manage the booking of reactive maintenance call-outs, charges, and purchase orders
  • Ensure all legally required servicing is completed and certifications are properly documented
  • Create and manage the timetable and budget for planned maintenance.
  • Identify and manage larger maintenance projects and office moves
  • Coordinate works with landlords and agents, including contractor access and RAMs requirements
  • Tender repairs and maintenance contracts annually and appoint preferred suppliers
  • Oversee all Repairs and Maintenance budgets and reporting, identifying areas for potential savings


Cleaning, Waste and Hygiene

  • Establish cleaning, waste, or hygiene contracts, ensuring the best price is obtained
  • Set schedules for 'spot' cleaning
  • Approve all Cleaning, Waste, and Hygiene invoices
  • Act as the business lead for waste management, ensuring compliance with legislation and identifying areas for improvement


Utilities

  • Serve as the business lead for all head office utilities and energy management
  • Appoint and collaborate with external agencies to procure energy at the best possible price
  • Keep overview documents up to date
  • Approve all utility billing and pass for payment
  • Identify and champion energy-saving initiatives within the business


Financial Reporting

  • Ensure that purchase orders are raised for all items
  • Oversee the logging of all orders and invoices
  • Verify and approve all invoices before payment


Skills Required

  • Proven experience in building management, preferably within the commercial sector
  • Strong knowledge of building maintenance, cleaning, waste management, and utilities
  • Excellent project management and organisational skills
  • Ability to manage budgets and financial reporting
  • Strong negotiation skills
  • Proactive problem-solving skills
  • Strong communication and interpersonal skills to work effectively with internal teams, landlords, agents, and external contractors
  • Proficiency in MS Office Suite
  • First aider
  • Fire marshall
