Creative Support is looking for an exceptional Personal Executive Assistant to provide comprehensive administrative and secretarial support to our Board of Trustees and senior leadership team.

About the role:

My priority is to find the right person to support our voluntary Board of Trustees. As such, this role offers flexible working arrangements and can be part-time or full-time. It’s perfect for:

  • A full-time employee with evening availability, happy to support multiple departments and gain diverse professional experience.
  • A mature student with evening availability looking to use their organisational and administrative skills in a professional setting.
  • An individual with personal commitments who can attend frequent evening meetings but otherwise work part-time with some hours from home.

About Creative Support:

We support individuals across England with a wide range of support needs, and manage around 1,000 units of supported housing as a Registered Provider of Social Housing. Governed by our Board of Trustees, our work is crucial in making a positive impact for thousands of individuals across the country.

Working alongside myself as Creative Support’s Company Secretary, I am looking for a committed and motivated colleague to fulfil the following role:-

Your responsibilities:

  • Meeting Coordination: Plan and schedule meetings, manage communications, and send out invites and virtual log-ins.
  • Administrative Support: Organise meetings and manage room bookings, travel arrangements and expenses.
  • Agenda Management: Agree on agendas with the Chair and arrange papers, presentations and speakers. Meeting
  • Preparation and Follow-Up: Prepare for meetings and handle follow-up actions with a team of personal assistants.
  • Minute Taking: Accurately take and distribute minutes, reports, and documents.
  • Record Keeping: Maintain records of attendance, apologies, and conflicts of interest.
  • Event Coordination: Support the Company Secretary, Chair and Chief Executive Officer in organising the Annual General Meeting and other events.
  • Trustee Recruitment: Work alongside the Company Secretary to coordinate the recruitment and induction of new trustees.
  • Support Functions: Act as a point of contact for trustees and shareholding members.
  • Other Duties: Perform tasks as requested by the Chair, CEO, and Company Secretary.

Who I’m looking for:

  • Proactive and professional with demonstrable experience in a secretarial or administrative role.
  • Excellent organisational and prioritisation skills.
  • Strong communication skills to coordinate the Board of Trustees.
  • Confident with IT and online applications, including MS Word, Excel, and PowerPoint.
  • Passionate about Creative Support’s work, values, and ethos. Flexible and able to attend frequent evening meetings.
