Roomytown is a young thriving wholesale gift company based in Bath, UK, specialising in home accessories & gifts that help turn a house into a home. What started as a range of fine art prints, has expanded into a collection of home accessories, games, stationery and gifts sold in leading museum stores, bookstores, key accounts and independent gift shops across the UK and USA, and soon in Europe.
Position Summary:
We are looking for an Operations Manager with financial acumen to help guide the growth of our company. This role will be responsible for overseeing all company operations including inventory management, order processing and fulfillment across all sales channels, logistics, bookkeeping and financials – all with the goal of improving processes and systems to increase efficiency, reduce company expenses and improve profitability.
The ideal candidate will have relevant operations and financial experience in the field of wholesale consumer goods, experience with Xero, and will have a positive, can-do, team player attitude who thrives in a start-up fast paced environment.
Responsibilities
Order Processing & Fulfilment
- Supervise Accounting & Operations Administrator on daily order fulfillment for all sales channels
- Ensure that all wholesale and retail open sales orders are billed and shipped promptly, creating systems and processes to achieve this. Proactively research IT solutions to improve workflow and automations.
- Responsible for order management on key accounts and distributors in all territories. Communicate with our warehouses to manage inventory & special requests
- Arrange with our 3PL’s the shipment of orders to customers, working with shipping providers to get the best shipping rates. Oversee all outgoing shipment logistics.
Inventory Management
- Manage efficient inventory levels in two 3PL’s warehouses, of all SKUS. Proactively analyse reports to optimise stock levels and reorder items to avoid OOS.
- Ensure that Bookkeeper assigns correct COGS for each sku
- Research and implement new inventory management software, that is compatible with our systems
- With Head of Production, arrange the best freight method for incoming inventory from Asia and Europe
- With Head of Production, arrange re-order of inventory at optimal cost with cash flow considerations
- Streamline operations to reduce costs and maximise turnover
Finance
- Oversee in-house accounts receivable (AR) and accounts payable (AP) workflow
- Manage outsourced bookkeeper
- Create weekly and monthly reports for review
- Track employee hours, annual leave & sick days to send to outsourced Bookkeeper for payroll twice monthly.
General Office Management
- Answer all general, incoming emails and forward as necessary
- Support Sales and Marketing. Communicate with Sales Reps on Ops & finance issues key accounts, vendor setup, commissions etc
- Establish & maintain a customer database (CRM) for sending out catalogues & other marketing materials.
Required Skills and Experience
- At least 3 years of experience in an Operations or Finance role, preferably both.
- Exceptional analytical, reporting, and organisation skills are highly essential.
- Strong IT and Finance skills. Proficiency with Xero. AAT qualification or further would be advantageous.
- Excellent attention to detail.
- Strong sense of urgency and an ability to manage multiple projects.
- Excellent communication skills, both written and verbal.
- Familiarity with international manufacturing, wholesale and retail preferred.
- Experience with logistics and shipping.
- Familiarity with platforms such as Shopify, Faire, MarketTime, Etsy, Paypal a plus.
Location
Remote work is accepted, but candidate is required to work in Roomytown’s head office in person in central Bath at least 1 day a week - two days preferred.
