We are seeking a highly organized and proactive HR & Operations Coordinator to join our dynamic team. The HR & Operations Coordinator will play a critical role in managing and supporting the daily operations of our international recruitment activities. This position involves a combination of HR responsibilities and operational duties to ensure smooth and efficient workflow within the agency. The ideal candidate will have a strong background in HR practices, excellent organizational skills, Great IT skills and the ability to multitask in a fast-paced environment.


Main Activities and Responsibilities


Human Resources

1. Assist in the recruitment process by posting job vacancies, screening resumes, and coordinating interviews.

2. Manage employee onboarding, including preparation of new hire paperwork, conducting orientations, and facilitating training sessions.

3. Maintain employee records and ensure compliance with HR policies and procedures.

4. Assist in performance management processes, including scheduling evaluations and tracking performance metrics.

5. Respond to employee and manager inquiries regarding benefits, policies, employee data, and HR systems.

6. Manage HR Metrics reporting.



Operations

1. Oversee the day-to-day operations of the office, ensuring a productive and organized work environment.

2. Provide effective management of operational activities, in agreement with your line manager, in accordance with the company’s mission and priorities and in response to evolving client needs.

3. Maintain a thorough knowledge and understanding of policies, issues and legislation relating to:

• administrative support;

• event and travel organization;

• compliance regulations

• data and information management

4. Undertake cross-divisional duties as appropriate including taking responsibility for

specific issues or activities.

5. Assist in the planning and execution of recruitment events, fairs, and conferences.

6. Undertake any other duties commensurate with the grading and purpose of the post as may be required from time to time.

7. Creating and implementing marketing and recruitment strategies for assigned markets.

8. Reviewing processes and liaising with different branches to improve efficiency.

9. Analyzing potential new markets or business expansion strategies, then Oversee/manage the projects.

10. Compiling, interrogating and interpreting complex and diverse information and datasets and producing succinct, evidence-based reports, providing options and recommendations where required to contribute to strategic decision making.


Additional Key Requirements:

Technology Proficiency: Experience with HR management systems (HRMS) and applicant tracking systems (ATS). Familiarity with customer relationship management (CRM) software and database management.

Project Management Skills: Proven ability to manage multiple projects simultaneously with a focus on meeting deadlines and achieving results. Strong organizational skills with the ability to prioritize tasks effectively.

Problem-Solving Abilities: Strong problem-solving skills with a proactive approach to identifying and addressing issues. Ability to think critically and make sound decisions in a fast-paced environment.

Training and Development: Experience in designing and conducting training programs for staff. Commitment to ongoing professional development and staying current with industry trends and best practices.

Flexibility and Adaptability: Willingness to adapt to changing priorities and work requirements. Ability to work flexible hours, including occasional evenings and weekends, to accommodate international time zones and event schedules.

Customer Service Orientation: Commitment to providing exceptional customer service to students, clients, and internal team members. Ability to handle inquiries and complaints with professionalism and empathy.

Analytical Skills: Ability to analyze data and metrics to inform decision-making processes.

Experience with creating and presenting reports, including HR and operational metrics.

Communication Skills: Excellent written and verbal communication skills. Ability to interact effectively with diverse stakeholders, including students, educational institutions, vendors, and team members.


Person Specification

● A Bachelor's degree in Human Resources, Business Administration, or a related field.

● 2+ years’ experience in HR and/or operations, preferably in an international or education-related environment.

● Strong understanding of HR principles, practices, and employment laws.

● Excellent organizational and multitasking abilities with attention to detail.

● Proficiency in Microsoft Office Suite and HR software.

● Strong interpersonal and communication skills with the ability to work effectively in a team.

● Ability to handle sensitive and confidential information with discretion.

● Experience in event planning and coordination is a plus.

● Fluency in English, both written and spoken, is required; proficiency in additional languages is a plus.


Able to demonstrate:

● A high degree of self-motivation with the ability to work independently, take effective decisions, resolve unforeseen problems and adapt to changing circumstances.

● Ability to work under pressure, prioritizing own workload and that of the team and planning ahead to meet deadlines.

● An understanding of information governance and data protection.

Special Requirements

Able to undertake duties at different premises. Flexibility to work outside of normal office hours to effectively support the company’s operations and events.

Travel may be required in order to attend conferences, events, new projects and effectively represent the Company in key networks.
