Job Description


The Business / Process Change Analyst will play a key role in understanding and documenting business processes to identify change impacts and ensure seamless transitions to new processes and ways of working. This role is crucial for defining requirements, managing the gap between the as-is and to-be target model and facilitating the successful adoption of our client's new systems.


Working closely with the Program Manager, this position combines elements of business analysis, process mapping and change management to ensure smooth and effective project execution.


Responsibilities:


  • Business Process Analysis and Mapping: Document the existing HR / Payroll processes, including data flows, dependencies and system integrations.
  • Understand the target operating model for Workday and Outsourced payroll
  • Compare current processes with the target operating model to identify gaps and areas requiring change to align with the new system and ways of working.
  • Develop future state process maps to facilitate understanding, enabling business stakeholders to visualize the changes.


  • Requirements Gathering and Analysis Document gaps between the current processes and the target operating model, outlining what needs to be addressed to meet the new system requirements
  • Assess the impact of proposed changes across business operations
  • Collaborate with the Workday and Payroll implementation teams to ensure that the new processes are accurately integrated into the design
  • Integrate requirements gathered by the various teams into the ‘to-be’ process maps


  • Change Impact Assessment: Analyse the impacts of implementing new processes and systems on current operations
  • Impact assessments should define the potential effects of changes on both business processes and stakeholders.
  • Work closely with the project team to define mitigation strategies to address change-related risks.


  • Stakeholder Communication and Collaboration Provide regular updates on the progress of the process mapping, gap analysis and implementation ensuring clear communication of any changes or new requirements
  • Support end-to-end testing during UAT, ensuring test cases accurately cover use case scenarios.


  • Change Management and Documentation Collaborate with project stakeholders to assess the impact of changes and ensure operational readiness.
  • Prepare stakeholders for the transition to the new systems, ensuring they understand the new processes
  • Assist in developing training materials tailored to the new processes and new systems ensuring that all users are prepared for the transition.


Activities & Deliverables:


Business Process Analysis and Mapping:

  • Activities: Analyze and document current HR/Payroll processes, workflows, data flows, and system integrations. Identify inefficiencies and areas for improvement. Create detailed process maps for current and future states. Analyze gaps between current processes and target operating models. Collaborate with implementation teams to ensure feasibility
  • Deliverables: Current state process maps and documentation, future state process maps and documentation, Business requirements documents and gap analysis reports.


Change Impact Assessment:

  • Activities: Assess the impact of proposed changes on business functions. Identify potential risks and develop mitigation strategies. Conduct stakeholder analysis and change readiness assessments.
  • Deliverables: Change impact assessment reports, stakeholder analysis reports, change readiness assessment reports, risk assessment and mitigation plans.


Required Skills:

  • Proficiency in documenting and analysing business processes.
  • Ability to define requirements and identify change impacts.
  • Excellent communication skills and collaborative team working style.
  • Ability to support training efforts and write training and communication materials
  • Ability to support end-to-end testing during UAT
  • Structured and organised with strong problem-solving skills.
  • Adaptability and Flexibility to adapt to changing priorities and requirements.
  • Self-directed and autonomous, takes initiative and requires little direction.
  • Experience of Workday is preferred.
  • Experience using MS Visio or similar process mapping tool
