The Business Support department comprises of several functional leads that enable Squarcle to operate efficiently, safely and in accordance with all relevant legislative, regulatory and internal requirements. An essential and busy department within Squarcle that manages all the support functions from Compliance, Human Resources, Accounting and Finance and Executive support the business.

Reporting to the Chief Executive Officer the Executive Assistant will provide administrative and clerical support to the Squarcle Board of Directors whilst assisting with the preparation and proof reading of client reports and contracts. A key member of the senior leadership team the Executive Assistant will contribute to the efficiency of the business by providing personalised and timely support to the Directors.


Primary Duties of the Executive Assistant (EA) are:


  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Prepare reports, collect and analyse information; prepare presentations.
  • Manage diaries, schedule and minute meetings.
  • Book and manage travel itineries and maintain expense records.
  • Maintain an organised paper and/or electronic filing system.
  • Assist the Human Resources department with the preparation of contracts and appraisals.
  • Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.
  • Uphold a strict level of confidentiality.


Secondary Duties of the Executive Assistant (EA) are:


  • Assist the office manager in completing office administrative duties.
  • Assist in the purchase of Squarcle rewards for employees.
  • Commit to continuous development by supporting the innovation of our offerings and the organisation of team events, training sessions and recruitment activities.
  • Carry out other duties as specified by the Directors.


Knowledge, Skills and Experience (Essential)


  • Minimum of 2+ years’ experience as an Executive Assistant.
  • Advanced MS Office skills.
  • Confident in speaking to and influencing senior management.
  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently, under pressure and to tight deadlines.
  • Exceptional interpersonal skills.
  • Reliable and honest.
  • Successful candidates must meet the security requirements before they can be appointed. The level of security needed is security check.


Knowledge, Skills and Experience (Desirable)


  • 1+ years’ experience in Human Resources.
  • Knowledge of financial services or sector experience.
  • Experience supporting Directors and Senior Stakeholders.
  • A worthy team player dedicated to contributing toward the outcome desired by the team.
  • High degree of emotional intelligence to effectively deal with increasingly diverse clients and teams.
