Managing a portfolio of serviced accommodations (furnished holiday lets or short-term rentals), you will oversee the entire process to ensure high standards of customer service. Your responsibilities include maintaining property standards, ensuring safety, and keeping property owners informed of any maintenance needs through regular updates and reports.
Key Responsibilities:
- Ensure properties meet high lettable standards and coordinate cleaning and linen availability.
- Advertise new accommodations on Online Travel Agents (OTAs) and update existing listings.
- Serve as the primary contact for customer inquiries via OTA messages, emails, and phone calls.
- Manage guest compliance, including ID checks, rental agreements, and addressing non-compliance.
- Organize safety checks in line with government guidelines and maintain accurate records in internal systems.
- Play an active role in setting and adjusting nightly rates for properties to ensure commercial viability.
- Conduct Quality Assurance on processes managed by Virtual Assistants.
- Ensure property guides are accurate and up-to-date.
- Oversee the training and quality assurance of virtual assistants and junior staff.
- Adhere to and enforce high customer service standards.
- Identify and address training needs to ensure competency in the property manager role.
- Lead the marketing of new and existing properties.
- Regularly review the property portfolio to maintain high demand and consistency.
- Provide on-call cover one weekend in three to handle customer inquiries and emergencies.
Skills and Experience Required:
- Strong organizational skills with the ability to deliver under pressure.
- Effective verbal and written communication skills.
- Experience managing properties and balancing multiple priorities.
- Understanding of quality assurance frameworks and compliance standards.
- Proficient in maintaining information systems and accurate record-keeping.
- Strong IT skills, particularly with Microsoft Office.
- Ability to work collaboratively in teams and project groups.
- Experience in implementing new practices, systems, or procedures.
- Full driving license and access to transport.
Success Metrics:
- Meet KPIs and targets successfully.
- Demonstrate high levels of customer satisfaction through feedback.
