Job overview

We are seeking a dynamic and experienced Events Manager to manage a brand new venue in London specialising in hosting tech events. The ideal candidate will have a passion for technology and events management, with a proven track record of successfully coordinating and executing a variety of tech-related events. This role offers an exciting opportunity to work in a fast-paced environment and be at the forefront of the tech industry's most innovative events.

An events manager who is managing a venue in central London would have a multifaceted role involving various responsibilities. Here's a breakdown of some key aspects of the job:

Event Planning and Execution: This role involves coordinating all aspects of events hosted at the venue. This includes liaising with clients to understand their requirements, creating event proposals, coordinating logistics such as catering, décor, print, branding, entertainment, and ensuring everything runs smoothly on the day of the event.

Venue Management: The coordinator would be responsible for overseeing the day-to-day operations of the venue, ensuring it is well-maintained, clean, and fully functional. This may involve managing staff, scheduling maintenance and repairs, and ensuring compliance with health and safety regulations. Maintain a thorough understanding of the venue's facilities and technical capabilities, and provide technical support as needed during events.

Client Relations: Building and maintaining relationships with clients is crucial for repeat business and positive word-of-mouth referrals. The coordinator would act as the main point of contact for clients, providing excellent customer service, addressing any concerns or issues, and ensuring their expectations are met or exceeded. Conduct venue tours and consultations with prospective clients, showcasing the venue's tech capabilities and amenities. Actively seek feedback from clients to continue to improve the event experience and exceed expectations.

Marketing and Sales: Promoting the venue and attracting clients is essential for its success. The coordinator may be involved in marketing efforts such as creating promotional materials, managing social media accounts, attending networking events, and conducting tours for potential clients. Utilise digital marketing channels, social media platforms, and industry networks to promote upcoming events and increase event attendance. Attend industry networking events, conferences, and trade shows to raise awareness of the venue and generate leads for future events.

Budget Management: Keeping track of finances is important to ensure events are profitable. The coordinator would be responsible for creating and managing event budgets, negotiating contracts with vendors to ensure competitive pricing, and ensuring expenses are kept within budgetary constraints.

Problem Solving: Events can be unpredictable, and the coordinator must be able to think quickly on their feet to resolve any issues that may arise during events, such as catering mishaps, technical difficulties, or guest complaints.

Post-Event Evaluation: Collecting feedback from attendees, speakers, sponsors, and exhibitors to evaluate the success of the event and identify areas for improvement. Analysing attendance metrics, revenue generated, and overall satisfaction to inform future event planning efforts.

Stay Updated with Trends: Keeping abreast of industry trends and innovations is important to ensure the venue remains competitive. This could involve attending industry conferences, researching new event technologies, and continuously seeking ways to improve the venue's offerings.

Overall, the role of an events coordinator managing a venue in London is dynamic and fast-paced, requiring strong organisational, communication, and problem-solving skills, as well as a keen eye for detail and a passion for delivering memorable events.

Qualifications and Skills:

  • Proven experience in events coordination, preferably within the tech industry or at tech-focused venues.
  • Strong understanding of event planning principles, logistics, and best practices.
  • Excellent communication, negotiation, and interpersonal skills, with the ability to interact effectively with clients, vendors, and internal teams.
  • Highly organised with exceptional attention to detail and the ability to manage multiple projects simultaneously under tight deadlines.
  • Proficiency in event management software, CRM systems, and Microsoft Office suite.
  • Creative problem-solving skills and the ability to remain calm and composed under pressure.
  • Flexibility to work evenings and weekends as required during events.
  • A passion for technology and a keen interest in staying updated with the latest tech trends and innovations.
