Position Overview:
As Finance and Admin assistant you have to look after the finance and administration functions of the company, assist the finance team, being Management PA, and working with the team to support smooth functioning of the operations.
Key Responsibilities:
Finance Function
§ Maintaining accurate financial records, including ledgers, journals, and other financial documents.
§ Preparing and processing invoices, managing accounts payable and receivable, and ensuring timely payments
§ Execute procurement/purchase orders as requested by the procurement or technical teams, make purchases and arrange shipping for purchases and sales.
§ Assisting in the preparation and monitoring of budgets.
§ Assisting in the processing of payroll, ensuring that employees are paid accurately and on time.
§ Prepare and edit documents, reports, and presentations as needed.
§ Monitoring and managing office and operational expenses, ensuring that they are in line with budgetary constraints.
Admin Function
§ Provide administrative support to ensure efficient operation of the office.
§ Being PA to the management, attending meetings and taking meeting notes, including organisation of international travel.
§ Assist in organizing and scheduling appointments, meetings, and events.
§ Maintain office filing systems, both electronic and physical.
§ Manage incoming and outgoing correspondence, including mails and deliveries.
§ Answer and direct phone calls in a polite and professional manner.
§ Office management: Ordering office supplies, coordinating maintenance services, and ensuring the office environment is well-maintained.
§ Handle requests and queries from managers and executive team promptly and professionally, including preparing and distributing communications.
Demonstrable Traits/Skills:
§ Proficiency in Microsoft Office applications, especially Word and Excel and financial software (e.g., Xero, or similar).
§ Accuracy in handling financial records and administrative tasks is critical.
§ Good time management skills, including the ability to work to deadlines.
§ Have good skills, in relation with communication, organisation, adaptability, problem-solving, customer service, multi-tasking, and confidentiality.
§ Team player - ability to manage working relationships at all levels.
Qualifications:
§ 3 years of finance experience
§ High school diploma or equivalent.
§ AAT qualification/ part qualification of ACCA/CIMA is a plus
