As a Purchase Ledger Assistant, you will play a crucial role in ensuring the smooth operation of our finance department by managing stock invoices, processing payments, and reconciling supplier accounts. This role requires strong attention to detail, good communication skills, and the ability to manage multiple priorities effectively.


Key Responsibilities:

  • Receipting: Process daily receipts from Sage X3 for deliveries, ensuring accurate warehouse booking.
  • Stock Invoices: Match invoices with delivery notes/GRNs and enter them into the Purchase Ledger using Sage. Investigate discrepancies, raise debit notes, and track approvals.
  • Bank Reconciliation: Regularly reconcile bank accounts for accuracy and completeness.
  • Supplier Statements: Reconcile supplier statements, ensuring timely resolution of discrepancies.
  • Company Credit Cards: Manage and process credit card statements and payments.
  • Non-Stock Invoices: Provide holiday cover and assistance during busy times by processing non-stock invoices and investigating any discrepancies.
  • Payments: Execute BACS and international payments (GBP, EUR, USD) to suppliers, and assist with daily payment runs.
  • Key Account Management: Handle a set of key accounts, managing queries and reconciling statements.
  • General Duties: Support the team with daily administrative tasks, such as dealing with post, cross-checking payment runs, and handling supplier queries.


Qualifications:

  • GCSEs in Maths & English (minimum grades A-C or 7-4).
  • Experience working in Purchase Ledger, handling supplier invoices, statement reconciliation, and multi-currency payments.
  • Knowledge of Sage Accountancy packages is advantageous.
  • Proficiency in Microsoft Excel and other spreadsheet tools.
  • Excellent time management and prioritisation skills.
  • Strong attention to detail and a methodical approach to tasks.
