An exciting opportunity to join a newly formed our Chief Technology Office, supporting Senior Leaders who manage IT, Data and Change.We're looking for someone who is proactive and highly organised with excellent communication skills, capable of managing multiple priorities and confidential matters with the utmost professionalism.This will be a busy role for the right candidate as you will need to have experience looking after multiple leaders with conflicting priorities.Many of our employees work flexibly in a variety of different ways, including part-time, flexible hours, job share, an element of working from home or compressed hours. This is because we want the best people for our roles, and we recognise that sometimes those people aren't available full-time. Please talk to us at interview about the flexibility you may need.What will you be doing?As the Personal Assistant, some of your responsibilities will include:Providing day-to-day support to a minimum of 3 Senior Leaders, including diary management, travel arrangements, and meeting coordination Assisting with the preparation of documents, reports, and presentations Supporting communication between the Senior Leaders and internal teams Helping to manage priorities and schedules to keep things running smoothly Performs confidential administrative work Organises and prioritises own assignments to ensure timely and accurate completion of work Greets and directs internal and external guests Handles internal customer and employee inquiries Prioritises / responds to e-mails Controls, coordinates, and maintains complex schedules and coordinates meetings, appointments and other activities Coordinates travel logistics using the Egencia tool Prepares expense reports and handles payments for expense items for the leadership team Prepares HR reports and supports various HR processes Identifies and complies with the main principles relevant to legal and regulatory controls that govern standard work practices Provide support to wider team members Works coherently with the assistant community to ensure best practice is carried out.What are we looking for?Previous experience of supporting a number of senior members at once Administrative experience including, complex diary management, dealing with urgent emails, organising travel and other admin tasks Advanced knowledge of PowerPoint, Microsoft Word, Microsoft Excel and Outlook Ability to work proactively with minimal supervision and in a demanding environment High levels of accuracy and strong attention to detail Strong network of support (or ability to quickly build one) and able to find ways to get things done Effective Communication Problem solving and solution mindset Appreciation of importance of maintaining confidentialityWhat will you get in return?Everyone's different.
