Job Purpose:
As a Purchase Ledger Assistant / Returns Administrator, you will play a pivotal role in the accurate and timely processing of supplier invoices and payments while ensuring adherence to our Returns Policy. Your attention to detail and strong organisational skills will contribute significantly to the efficiency of our finance team.
Key Responsibilities:
Purchase Ledger:
- Process invoices daily and accurately match them to purchase orders.
- Assist in the monthly processing of UK (BACS) and foreign currency supplier payments along with employee expenses.
- Administer and process claims for faulty products, plumbers' bills, and sub-contractor invoices.
- Conduct monthly supplier statement reconciliations for both UK and foreign currency.
- Assist with month-end procedures and closedown of the Purchase Ledger.
- Communicate effectively with internal departments and external suppliers to resolve invoice and statement queries.
- Maintain strong relationships with suppliers.
- Conduct daily bank reconciliations and reconcile duty and deferred VAT.
- Reconcile credit card statements and support the monthly management accounts and year-end audit processes.
Returns:
- Build and maintain relationships with customers.
- Manage the customer returns and refunds process, liaising with the warehouse team, account managers, and BDMs as required.
- Produce month-end returns reports.
What We’re Looking For:
- Strong attention to detail and accuracy in financial processing.
- Proven ability to communicate effectively, both verbally and in writing.
- Ability to build and maintain relationships, both internally and externally.
- Proficient in Microsoft Excel and other relevant software.
- Experience in a finance-related position is desirable, but not essential.
