We are looking for a compassionate and motivated individual to provide an efficient and confidential administration service for a special 15-bed Care Home for Older People based in Fetcham Village, Surrey.
Bellsgrove is a small, family-run Care Home with a well-established local reputation, and close ties with the community and external health professionals. We continually strive to improve our standards and procedures.
We are looking for a person who is passionate about developing excellence in older people’s dementia care, and who is comfortable working in a 15-bedded Home with a diverse and dedicated staff team to meet our residents’ needs.
We are seeking someone who is able to work closely with the manager, staff team, residents and their families, and with the wider health network to ensure that our standards are never compromised and always improving.
**JOB DESCRIPTION**
**General**
- Be the first point of contact for residents and visitors, offering friendly, welcoming and professional support.
- Ensure our computer systems are maintained via Microsoft Office.
- Support meetings, making sure they run smoothly and that minutes are kept.
- Deal with any queries efficiently.
- Develop and maintain good filing systems.
- Deal with mail, scanning, stationery, photocopying and any other office tasks.
- Assist with producing reports and statistics.
- Answer and follow up on enquiries about our Home.
- Ensure that regular returns are completed on time.
- Book medical appointments.
- Liaise with relatives and other healthcare professionals.
- Keep accurate records.
**Residents**
- Process pre-admission, admission, care planning and discharge documents etc.
- Follow up and monitor any enquiries for potential new residents.
**Human resources**
- Create and maintain staff and resident files.
- Complete checks and ensure references for potential employees.
- Ensure that the staff training matrix is maintained.
- Record and monitor annual leave, sickness, trackers etc.
**Supplies**
- Ensure that supplies for the running of the Home are in stock and order stock efficiently
- Ensure that our orders from suppliers are received and correct.
- Manage residents’ personal floats and our petty cash.
**Appraisal/Health and safety**
- Participate in annual appraisals.
- Work to ensure we follow health and safety policy and procedures.
- Stay alert to any safety hazards in the Home, and follow risk assessments and safe systems of work, plus manual handling and lifting procedures.
**Learning and development**
- Attend any training needed to help you develop your career and perform your role well.
**PERSON SPECIFICATION**
**Essential Qualifications required**:
‘A’ level equivalent standard of education. NVQ or QCF qualification in Business Administration or Health and Social Care.
**Experience required**:
- Experience of working to deadlines, working alone and as part of a team.
- Experience in handling data, numbers and reporting in detail.
**Desired**:
- Experience of administration work in a health care setting.
**Knowledge and skills required**:
- Evidence of good written and oral skills for communication and understanding.
- Effective interpersonal skills and working with others.
- Adaptability.
- Planning and Organisation.
- Knowledge of the main issues facing older people.
**Personal Attributes**:
- Positive and flexible attitude.
- The ability to plan and prioritise workload.
- Professional presentation of self within the work place.
