**JOB DESCRIPTION - PHARMACY RECEPTIONIST**

**JOB TITLE**: Pharmacy Receptionist
**REPORTS TO**: Line Manager
**SALARY**: £22,000
**HOURS OF WORK**: Monday to Friday 8.15-5pm. You will be entitled to an unpaid break of one hour. Saturday Work hours 8.45am-11.30am (shared equally through reception staff, currently 1 week in 7.
**PURPOSE OF THE JOB**:To provide an efficient and effective pharmacy reception service to clients and staff.
To ensure our clients get the best impression of our organisation. A receptionist is often the first point of contact and therefore, it is imperative that a receptionist makes the best impression.
To build positive relationships with clients and staff promoting all areas of the business. Clients and staff are the key to the success of our business and excellent service and relationships is a key element to gaining and retaining them. It is expected that delivering an exemplary service is at the forefront of the minds of all of our staff. Delivering an excellent service involves understanding needs (however great or small) and managing people’s expectations. This will vary however all should expect the following:
a) A friendly, professional greeting, smile, positive and upbeat tone and approach;
b) Empathy and effective listening to understand their needs, asking questions as necessary where further clarification is required;
c) Acting promptly, efficiently and effectively.
**PERSON SPECIFICATION**:
**KEY TASKS AND RESPONSIBILITIES **- _including, but not limited to: _
a) Answering the telephone, managing calls efficiently and effectively in a polite, friendly, professional and courteous manor.
b) Attending to clients face to face at the pharmacy reception counter.
c) Adhering to company protocols and procedures.
d) Maintain and update pharmacy reception protocols as soon as something changes and ensure a six-monthly review takes place.
e) Ensure compliance with VMD requirements to ensure the business passes pharmacy audits.
f) Inputting and abstracting data from the practice management system and the use of other industry related software.
g) Ensuring client’s accounts and details are kept confidential, secure, up to date and in line with company protocols and GDPR Regulations.
h) Completion of all daily, weekly, monthly and annual tasks.
j) Office administration including filing, recording and despatching outgoing mail, monitoring stationary stocks, completion of general paperwork.
k) Receiving clients' payments, handling cheques, cash and card transactions.
l) Maintain an orderly and clean reception desk, office area and practice premises.
m) Recycling and ensuring bins are emptied.
n) Accurately book, check, process and dispense medicine prescriptions at the earliest opportunity.
o) Accurately transfer, check and process vet medicine requests at the earliest opportunity.
p) Complete all necessary secondary checks to ensure stock locations remain accurate.
q) Carry out stock investigations when stock does not reconcile at the earliest opportunity.
r) Complete full monthly stock checks and system clean up as required.
s) Ensure fridge and room temperature checks are completed and recorded daily to maintain medicine efficacy. Act and report any anomalies to your line manager immediately.
t) Process the daily deliveries at the earliest opportunity ensuring medicine efficacy and stock accuracy is at the forefront of your mind.
u) Ensure the daily wholesaler and any other special orders are processed so that appropriate levels of stock on the shelves is maintained at all times.
v) Ensure pharmacy organisation is strictly maintained. Correct labelling/magnets, rotation of stock, maximums, minimums and safe stacking.
w) Tuberculin monitoring and ordering in line with XLFarmcare requirements to ensure we pass our annual audit.
x) Cleaning and preparation of surgical instruments and use of the autoclave and cell count machine.
y) Ensuring that opening up and closing down routines for the practice are carried out at the start/end of each day.
z) To provide support and cover in other areas of the business as and when required
**Cleaning Rota - **_including, but not limited to: _
- General housekeeping.
- Cleaning of the practice premises as outlined in the reception team cleaning rota.
**Events, Shows and Meetings** _- including, but not limited to: _
- To prepare for and attend, events, shows and meetings as and when required.
