**Job Description - Administration Assistant (6 Months Fixed Term)**

**Post Title**: Administration Assistant
**Location**: Accrington Office (office-based)
**Hours**: 20 hours per week (86.7 hours/month), Monday-Thursday 9:30am-3:00pm (30-minute unpaid lunch)
**Salary**: £24,178 FTE (pro-rata £15,600/year; £15.00 per hour)

**Contract**: 6-month fixed term, with potential extension following review
**Reports to**: Property Asset Manager
**Start Date**: As soon as possible

**Purpose of the Role**

The Administration Assistant will provide essential housing administrative and processing support, ensuring smooth operations within the FHA Team. The role will focus on utility account monitoring, invoice processing, and general housing administration tasks. This position will be based at our Accrington office to facilitate close collaboration between the Finance, Property Assets, and Housing teams, strengthening operational alignment and efficiency.

**Key Responsibilities**
- **Utility Management**:

- Monitor, track, and manage all utility accounts in collaboration with the Property Asset Manager.
- Identify cost increases or anomalies and escalate appropriately.
- Liaise with suppliers to resolve billing or service issues.
- **Invoice Processing**:

- Input invoices into the system, ensuring accurate allocation to individual properties.
- Maintain up-to-date financial records and documentation.
- **Mailbox Monitoring**:

- Oversee and triage the utilities mailbox, redirecting queries to relevant team members in line with agreed processes
- **Customer Service**:

- Respond to internal and external queries promptly and professionally.
- Liaise with properties to arrange appointments relating to utilities etc.

**Person Specification**

**Essential**
- Proven administrative experience, ideally within a property setting.
- Strong IT skills, particularly in data entry and database systems (SASSHA experience desirable).
- Excellent organisational skills with attention to detail and accuracy.
- Strong interpersonal skills and a collaborative approach.
- Ability to work to deadlines and manage competing priorities.

**Desirable**
- Knowledge of utility account management.
- Experience in social housing or property management sectors.

**Contract Terms**
- 6-month fixed term, with review and potential extension.
- 20 hours per week, based on the agreed working pattern.
- Annual leave and benefits pro-rated according to hours worked.

**Administration Assistant (Fixed Term)**

We’re looking for an **Administration Assistant** to join our Accrington office on a **6-month fixed-term** contract, helping to keep our housing operations running smoothly.

You’ll be:

- **Managing utility accounts** and working closely with our Property Asset Manager.
- **Processing invoices** in our SASSHA system, ensuring every transaction is accurate and linked to the right property.
- **Monitoring the utilities mailbox**, making sure queries are dealt with quickly and effectively.

You’ll work **20 hours per week** (Monday-Thursday, 9:30am-3:00pm), with a salary of **£15,600 /year pro-rata** (£15.00 per hour

This role is **office-based** to strengthen collaboration between our Finance, Property Assets, and Housing teams - helping us create a true “golden thread” in the way we work.
