**OVERALL PURPOSE OF THE JOB**
The Team Assistant role will provide comprehensive administrative support to the team, particularly the Publishing Director and Pottermore Leadership Team.
Additionally, the role will support the publishing operations function of the team, carrying out a variety of distribution and production tasks.
**SUMMARY OF DUTIES**
**Administrative Support**
- Proactive diary management and administrative support for the Publishing Director
- Preparation, planning and scheduling of meetings, to support the Pottermore Leadership Team including:
- Booking meeting rooms and online meetings
- Providing presentation materials where necessary
- Developing and distributing agendas in advance
- Taking meeting actions as needed and circulating in a timely fashion
- Management of travel and entertainment bookings including flights, visas, hotels & restaurants ensuring budgets and travel policies are adhered to.
- Assisting the company’s wider administrative team as required, including:
- liaising closely with Blair Partnership colleagues via the network of EAs and other team assistants
- supporting front office duties
- answering reception telephone enquiries and taking messages
- handling deliveries and distributing post
- assist with ad-hoc tasks and projects as requested
**Publishing Operations Support**
- Assisting the Distribution and Production Manager in maintaining Pottermore’s eBook and audiobook backlist by carrying out a range of tasks, including:
- collating and updating product metadata
- uploading and distributing product files
- maintaining product distribution channels for retail partners and setting up new partner channels
**PERSON SPECIFICATION**
- Previous team assistant experience including the management of fast-changing diaries
- Able to work well in a cross functional team
- Friendly, confident and approachable with a positive and enthusiastic attitude
- Flexible and able to prioritise work in a fast-changing environment
- Detail oriented, organised, accurate and reliable
- Trustworthy and able to work discretely
- Self-motivated, enthusiastic, creative and adaptable in approach
- Excellent listening and communication skills, both verbal and written
- Proficient in using MS Office to include Word, Excel and PowerPoint, a knowledge of Teams and SharePoint would be a benefit
- Previous experience in a trade publishing environment or an interest in Harry Potter is a bonus (mastermind-level knowledge not required)
Responsibilities are likely to evolve over time as the individual grows within the business.
