**Scope of work**
**Main Duties and Responsibilities**
- **ADMINISTRATIVE SKILLS ** **Outstanding verbal and written communication skills.**:
- Exceptional organisational and time management skills.
- Basic knowledge of accounting procedures such as bookkeeping and other general financial procedures.
- Proven experience in a related administrative role
- Knowledge of computer programmes used in daily office administration functions such as word processors, spreadsheets, and specialised office management tools.
- Proficiency in digital and paper filing, including the ability to manage business correspondence, the ability to handle confidential information, and the ability to create, maintain and update client records.
- Excellent problem-solving skills, the ability to research, and an aptitude for helping other people.
- Ability to learn on the job and adapt to change.

Ensure the maintenance of standards of practice according to the employer and any regulating bodies are maintained and up to date.
- Ensure that confidentiality is protected at all times, in line with GDPR policy and procedure.
- Participate in individual performance reviews and respond to agreed objectives.
- Keep all records up to date in relation to Continuous Professional Development and ensure personal development plans are maintained.
- Attend relevant meetings/workshops in line with identified professional objectives.
- **DUTIES AND RESPONSIBILITIES** **Setting up and maintaining efficient computerised and paper office systems to support the delivery of New Era’s Family Hub, Engagement Hub and Emotional Health and Wellbeing Hub.**:
- Providing general clerical and administrative support to the company and the projects the company delivers, including word processing, minute taking, report writing, filing, correspondence, dealing with incoming and outgoing mail, reprographics, admin support for the creche service we deliver.
- Supporting the Accounts Department with financial administration.
- Managing the IT for the company and supporting other staff with IT needs.
- To support the promotion of positive relationships with participants and outside agencies.
- General office duties including welcoming clients, arranging meetings, and ensuring the office is kept tidy and organised at all times.
- General welfare support where required, including liaison with staff and participants.
- Ensuring the smooth running of the cycle of management meetings of the company ( Board, Members, and Staff meetings) and taking minutes where required. This may require attending some out-of-hours meetings.
- Managing/overseeing New Era’s marketing to promote New Era’s work using social media, the company website, leaflets and flyers, etc.
- Supporting the Board and Staff with the business development and upkeep of the policies and procedures in line with the co-operative ethos.
