Assistant Director
**Job Type**: Full time
**Contract**: 12 months Fixed term

**Job Purpose**:
More Than Grandparents is an independent registered charity based in Sunderland ran by and for Kinship Carers and their families we are looking for an Assistant Director to help support the daily run of our charity, complete accounts/book keeping, procurement/ commissioning of services, writing funding bids, fundraising, fund reporting, promotional work, volunteer coordinator, project management, training, event planning, engaging with partners, support services provision and proving cover of the CEO during Annual Leave. You will be answerable directly to the CEO to help maintain a smooth operation of the administration of the Charity.
Our service users are often under extreme pressure therefore it is essential that
you have excellent communication skills and can demonstrate empathy when taking calls from our clients who often self-refer to our service.
**Responsibilities**:
- Answer the telephone and deal with general enquiries, taking accurate messages and directing calls where required
- Resolve/ Escalate issues that may arise
- Answer the door and welcome any visitors to the service, ensuring they sign in and out
- Ensure mail is dealt with appropriately and distributed on a daily basis
- Ensure stationary supplies are ordered as required for the office
- Prepare letters and progress report documents for funders
- Organise meetings and take minutes when required
- Manage diaries/appointments for the CEO
- Tidy and maintain any communal areas
- Update database keeping Service User records up to date
- Complete all mandatory training - including e-learning - within the timescale required and be willing to work towards any relevant qualifications
- Participate in meetings which relate to the general day-to-day running of More than Grandparents.
- Undertake general administrative duties and any other duties
- Book keeping and completion of accounts
- Leasing with Accountant, for external accounts submission
- Undertake project management role
- Develop training packages
- Take the lead in Event Planning and fund raising events
- Engaging with partners and promotional work
- Supporting with service provision where required
- Commissioning and procurement of partners
- Support CEO in writing funding bids
- Any other business necessary to support the CEO
Person Specification
Essential
- Must have experience in working with and developing Databases such as Airtable or Similar
- Must have project experience
- Must have experience of bid writing and reporting
- Volunteer coordinator experience and management
- Experience of fund raising and event planning
- Must have experience of developing training packages
- Excellent communication Skills
- Administrative experience
- Must be hard working and reliable
- Must be a people person and approachable
- Must be passionate, bubbly and outgoing
- The ability to listen and show empathy to our clients who are often under extreme pressure is essential
- Responding professionally to calls form other services is also essential
Desirable
- Experience of Kinship care (however training can be given), the care system or the charity sector (either lived or professional)
- Experience of commissioning/ partnership working
