**JOB PURPOSE;**
- To support the delivery of the Hotel Budget
- Coordinate Weekly BEO Meeting and information that is presented to the hotel operation team
- Support Conversion of Conference Enquiries taken through Group Sales
- Handle & Convert Private Dining & Event Enquiries including public Afternoon Teas and Sunday Lunches
- Coordinate all aspect of bookings until arrival

**WOW Experiences**
- To create and deliver Wow show-rounds in order to increase conversion on enquiries
- Anticipate guests needs where possible to enhance the quality of service and positively promote sales to maximise revenue
- The role must ensure that all correspondence and data input for Events is accurate & timely
- The role must ensure that all calls are answered and dealt with within our guidelines
- Effective use of the system to ensure we maximise revenue and provide relevant information to Operations.
- Accurately input bedroom reservations for Group bookings into the system
- To continually communicate to all departments within the hotel in a concise and appropriate manner
- To produce accurate function sheets on time maintaining 100% attention to detail
- Prepare and deliver show rounds to clients and sell the hotel to the best of its potential
- To attend meetings within the hotel as required and represent the sales department
- To co-ordinate all clients’ needs prior to arrival at the hotel
- To attend Yield meeting to discuss sales strategy

**Exclusive People**
- To be up-to-date and knowledgeable on competitor activity
- Be polite and respectful with all colleagues across the group
- Develop a good working relationship with all departments of the hotel to enable effective communication and team work
- Be impeccably groomed and have high standards of customer service
- To keep Sales Manager promptly and fully informed of all problems or unusual matters of significance
- Be active on HUBBUB sharing successes, feedback and client profile information with the Fanhams team

**Improve Profit**
- To work with the departments ensuring profitable items are up-sold to our clients
- To ensure proposal are profitable and within the pricing guideline set by the sales manager
- To protect revenue by dealing with issues quickly and efficiently, resulting in mínimal cost to the business
- To protect property material at all times.
- To follow recycling procedures avoiding wastage at all times.
- Ensure confirmations are accurate and sent in a timely manner

**Increase Revenue**
- To anticipate the guests’ needs in order to enhance quality of service and positively promote sales to maximise on all revenue opportunities
- To identify and present new ideas to increase sale across the business at monthly sales meeting
- The role must ensure that all correspondence and data input for reservations is accurate & timely and all revenue captured including cancellation revenue.

**Strong Brand**
- Wear uniform with pride and be presentable
- Be familiar with Brand standards
- Carrying out early shift and late shift procedures as required in conjunction with the reservation systems
- Have a good knowledge of other properties in the Group
- Be confident in the history of Fanhams Hall and Exclusive Hotels
- At all times to project a favourable image of Exclusive Hotels to the public

**Health and Safety**
- To be aware of and comply with safe working practices as laid down under the Health and Safety Act as applicable to your place of work. This will include your awareness of any specific hazards at your work place
- The wearing of appropriate protective clothing provided by or recommended by the Company will be obligatory
- To report any defects in the building, plant or equipment according to hotel procedure
- To ensure that any accidents to staff, guests or visitors are reported immediately in accordance with correct procedures
- To attend 6 monthly Statutory Fire, Health & Safety training and to be fully conversant with and abide by all rules concerning Fire, Health & Safety

**General**
- Display a professional image of Exclusive Hotels _and _Venues by delivering the company values and demonstrating the courtesy standards and non negotiables at all times
- Keeps immediate supervisor promptly and fully informed of all problems or unusual matters of significance
- To attend all training courses as and when required
- Performs all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve the overall objectives of this position
- As the hotel’s level of business varies considerably, there is a need for flexibility in attitude, approach and working hours
