R F Henderson Limited is a Newcastle-based Mechanical Contractor with an impressive track record of delivering high-quality projects.

The business is part of the Northumbrian Property Services Group and is undergoing significant growth at present with a number of new contracts to deliver.

Due to our exciting growth plans we now need to recruit a Service Administrator to help run a busy and expanding service department. This role will entail:

- Managing engineer diaries and scheduling their workload.
- Processing requests from engineers for parts and placing orders with suppliers - ensuring best value is achieved.
- Building relationships with customers, developing service contract customers to ensure we deliver as much of their work as possible.
- Assisting the Service Manager in producing Risk Assessments and Method Statements for the work being delivered, and ensuring engineers update these to reflect site conditions.
- Arranging accommodation as necessary when engineers need to stay away overnight.
- Contacting suppliers and sub-contractors to ensure materials are procured at best price and delivered on time.
- Updating our skills matrix ensuring our teams training requirements are kept up to date.
- Communicate daily with engineers to enable smooth, efficient running of the team and accurate upkeep of systems and information whilst maintaining KPI’s \ programme milestones in line with programme of works.

You must also be capable of:

- Working as part of a small and very busy team, pulling together to deliver projects which may require assisting colleagues with other admin and procurement tasks as necessary.
- Learning to use our job management software to ensure we accurately record engineers’ schedules, orders placed and materials used, then generating accurate invoices for customers.
- Developing into a wider role to take responsibility for other aspects of the administration of the business - there is potential to grow the role to suit the capabilities of the successful applicant.

Most of our work involves the installation, servicing and maintenance of commercial heating plant and we work across the whole of the UK.

We need someone with excellent customer service, admin & IT skills, and with an acute eye for detail. You must be comfortable dealing with customers, engineers and suppliers in a very busy environment - many of our customers rely on us to keep critical heating and hot water systems running so an ability to triage incoming calls and prioritise accordingly would be helpful - so prior experience in a similar role would be very valuable.

This position attracts a salary IRO £25-30K depending on experience, and opportunities for future career progression exist within the business and the wider group - with significant growth planned in the coming years.
