The Information, System and Insight team form part of the Elizabeth Line's operational delivery organisation and are responsible for owning, implementing and improving the Elizabeth Line Information Strategy. The strategy includes information systems, processes and reporting which enable the Elizabeth Line to utilise information to understand performance, prioritise effort and deliver value.

A System and Information Administrator is required to help monitor, manage, report on and coordinate systems access to Elizabeth Line information systems. This is to ensure information is accurate and available to help facilitate the safe, efficient and reliable running of the Elizabeth Line.

A System and Information Administrator is responsible for owning master permissions lists, licensing management and reporting on information systems access. Interim support will also be required to support an interim solution for software as an asset.

**Key Accountabilities**:

- Monitor and own the master permissions list for a number of bespoke Elizabeth Line information systems including movers, leavers and joiners, helping to ensure information can be accessed by the right people for the right purpose so the Elizabeth Line can function.
- Manage the process to provide access to information for starters, leavers and 3rd parties so users can effectively complete their roles and exploit information until they are no longer required to do so.
- Efficiently manage the licenses for Elizabeth Line information systems to ensure access is available to those who need it.
- Co-ordinate One London/One London Lite accounts needed with 3rd parties so those users can access required systems to deliver agreed works.
- Manage access to Elizabeth Line information systems to ensure those who are required can carry out any given work.
- Create and produce reports on access license usage and information system usage to help inform business decisions.
- Create and maintain a library of guides, links and relevant documentation to assist new system users to facilitate easy system access.
- Monitor and own the master list for software licenses and spares to ensure access is available to systems that are required and spares are managed in a cost efficient way.
- Provide support in managing and running an excel based interim tool for software as an asset including reporting until a permanent solution is developed and released (not in the scope of this role).

**Skills**:

- Organised in order to be able to manage user access to multiple information systems and manage a master permissions list.
- Communication to liaise with different user groups and key interfaces to effectively enable appropriate access where required and raise issues around software and user licenses.
- Self-motivated/proactive to ensure access is provided in a timely manner and operational activities are not impacted.
- Attention to detail to ensure accuracy of work and that access rights are assessed on a case by case basis.
- Ability to identify and highlight areas of potential process improvement in order to streamline workflows and make processes more efficient.
- Good skill level of using Information Technology software packages including Microsoft Office.

**Knowledge**:

- Working knowledge of legislation relevant to handling personal information - e.g. Data Protection Act, Freedom of Information Act is desirable.
- Good understanding of Information Management systems including SharePoint and how and why access permissions are controlled.
- Good knowledge of Asset Management systems including their function and how they operate is desirable so support can be provided to upskill others and requirements for access are understood.
- Demonstrable knowledge of different information/data reporting methods so reports on systems access can be created and maintained.
- Working knowledge of different groups of Information System users so permissions can be tailored appropriately, and decisions made about user access rights.

**Experience**:

- Demonstrable experience of working collaboratively with multiple stakeholders to efficiently manage tasks from previous roles or professional settings.
- Past experience in a similar role managing systems access, in information management or with data would be beneficial.
- Good experience of demonstrating proactive mindset to seek and resolve issues in previous roles or professional settings.
- Previous experience of demonstrating a professional mind set and demeanour whilst working and dealing with colleagues, clients, suppliers or peers.
