**Business Support Officer**
**JOB DESCRIPTION**
**Hours**:Minimum of 21 hrs/wk and up to 28 hours as required. The post holder will need to work their hours flexibly to ensure tasks are completed within statutory timeframes and at busier periods.
**Pay**:£24,980 per annum, (pro rata)
**Term**: Initially fixed term 12 months contract with option to become permanent
**Line Manager**:Finance Manager
**Purpose of the Post**:
- To provide business support across internal organisational departments particularly Finance and
Human Resources
- To provide efficient and accurate financial recording and administration for the organisation
- To support the Finance Manager to deliver an effective financial service across the Trust.
- Responsibility for day to day human resource matters including payroll processing and ensuring
HR records are kept up to date.
- Systems administration and use of data to enable reporting for internal and external purposes.
**Based**:Northorpe Hall, Northorpe Lane, Mirfield, WF14 0QL
**Context**:Northorpe Hall Child & Family Trust is a local independent charity working to improve the mental health and emotional well-being of children and young people facing challenges. This post ensures financial records are accurate and up to date and provides reliable data that supports the financial management and direction of the Trust.
**Requirements**: Enhanced DBS check, references, qualification check, identity check, formal interview.
**MAIN DUTIES AND RESPONSIBILITIES**
**Finance functions**
- Maintaining financial records and systems
- Processing purchase invoices, including preparing for payment.
- Raising sales invoices and ensuring timely payment
- Checking and processing all staff and volunteer expense claims
- Recording & reconciling bank transactions
- Complete the administration and processing of the organisation’s credit/payment cards and online payment accounts.
- To manage petty cash requirements including reimbursements and ensure the timely banking of payments.
- Ensuring donations are accurately recorded and acknowledged.
- The accurate use of Xero accounting systems to record all financial transactions
- Completion of journals and adjustments in Xero as required.
- Analysis and recording of salaries transactions.
- Ensuring accurate recording and transfers between Northorpe Hall Child and Family Trust and
Northorpe Hall Trading Company.
- Overseeing work of any finance administrative assisting with finance processes

**Business Support Officer**
**Payroll**
- Collation of all timesheet data for entry onto the payroll schedule.
- Collation of other data and changes required for payroll preparation.
- Preparation of the monthly payroll schedule for submission to the payroll provider together with all supporting documents.
- Checking accuracy of payroll against payroll schedule.
- Dealing with any payroll queries.
- Analysis of completed payroll and posting onto Xero.
**Supporting Financial Management**
- Through accurate and timely financial recording and administrative support, work with the Finance
Manager to prepare financial reporting and budgetary information.
- Monitoring of supplier contracts
- Maintaining Fixed Asset Register
**HR functions**
- To provide administrative support to the organisation across HR functions
- To manage HR enquiries and actions for new and existing staff
- Update of HR system and records including contracts and changes to personnel details
- Production and issue of standard and non-standard letters to staff
- Set up induction of new staff to include systems, equipment, and statutory training.
- To support enrolment of staff on salary sacrifice or staff benefit schemes.
- Undertake administrative tasks in relation to monthly payroll to include timesheets, HR changes, adjustments including new starters and leavers.
- Support staff with change of contracts, Timesheet/Leave & Toil queries, and adjustments
**Data, Processes and Communication**:
- Work closely with Managers to ensure all records are up to date and accurate.
- Support data analysis and reporting of data for internal and external recipients.
- Raise any errors or concerns with managers.
- Document all processes and review regularly.
- Work with the Managers to continually look at system improvements where necessary.
- Communicate effectively and with clarity to all internal and external stakeholders.
**Support other Trust activities**
- To contribute to the safe and effective running of Northorpe Hall Child and Family Trust and implementing plans, policies and procedures including supporting areas relating to the site and legal
