**Mailroom Operative**
We are seeking a Mailroom Operative to join JP Morgan on an initial 6 months contract in Edinburgh. Ideally you will have worked in a similar role previously to some capacity although this is not essential. You may also be required to carry out the same service in the Glasgow office from time to time so you must be able to commit to this.
**Description**
Document & Business Solutions (DBS) is the company’s primary office-based services provider for the firm, globally, operating across APAC, EMEA, LATAM, and NAMR in more than 50 cities. DBS is responsible for providing vital products and services, including but not limited to, creative & design, document creation/print/copy, mail distribution, messenger, courier, and fulfillment scanning and archiving. Additionally, DBS manages a suite of products, including, office printers, mail digitization and DBS’s online service platform.
**The primary responsibilities**
- Adhering to Standard Operating Procedures for all processes to ensure audit trail and quality control, and that service levels are met.
- X-ray scanning of all Inbound mail and courier deliveries - _training will be provided_
- Process inbound and outbound mail collection and deliveries, couriers, high volume mailings, sorting of general mail, collecting items from loading bay, openers, mail look-ups, one-off deliveries, outgoing special mail items, franking outgoing mail, general courier sweep of business floors
- Administration pertaining to the operation, including processing/review of supplier invoices, stationery and consumables for machines, as well as capturing volume metrics
- Engaging with approved courier vendors and placing service calls for engineers to fix, maintain service equipment
- Support end user requests relating to Secure Shred bins in line with global policies.
- Monitor printer toner levels and replace toner cartridges
- Imaging and Archiving services - Scanning, indexing and digital archiving of business documentation - _training will be provided_
- You will support the Mail Services Supervisor/Team Leader in the development, reporting and maintaining of client SLA’s within the agreed targets
- Maintain clean and presentable working areas at all times
- Fulfil any reasonable ad hoc duties as required to support the lines of businesses within the GBDS remit
- From time to time attend and cover the service in the Glasgow location
- Working hours are 8.30am - 4.30pm
**Required Skills**:
- PC Skills - Ability to use, update and input into Microsoft Office tools, such as Excel.
- Good communication skills and ability to deliver a highly positive level of customer service to internal and external clients, using written, phone and face to face interaction.
- Ability to meet and maintain Quality and Productivity standards
- Ability to adapt to a change in the work environment, including, but not limited to: daily directives from leadership, changes to standard operating procedures, and new products, services and technology
- Flexible approach to ensure staff/service coverage, supporting changes to process/volumes or demands placed on the service
- To cross train where required on supporting functions and share knowledge and expertise with supporting teams.
- Excellent time management and organizational skills with the ability to multi-task
- Control-oriented and have a keen eye for detail
- Strong team player with the ability to work in a diverse and global team environment
**Qualifications**
- Experience in Mailroom Operations
- Exposure and understanding of Quality Assurance
- An organized and efficient approach with self-motivation and proven ability to learn
**Job Types**: Full-time, Temporary contract
