We are looking for a highly skilled Data and Exams Officer to support the administrative side of our thriving all-through school. The work is crucial to ensuring effective communication with all stakeholders and ensuring the smooth running of day-to day practices such as registration through to annual events such as public examinations.

The Data and Exams Officer will be accountable to the Deputy Head Academic but will work closely with the Head, Network Manager, Admissions Office and Head of Prep.

This is a term time role with two additional weeks per year during the Summer for examination results.

**Areas of Responsibility**

**External and internal examination entries**
- To oversee accurate, complete and timely entries.
- To oversee the production of schedules, including staffing and rooming and to ensure that this information is disseminated clearly to the staff body.
- To assist in the arrangement of MidYIS/YELLIS/ALIS/GL testing.

**Access Arrangements**
- To work with SENCO and drive meetings to ensure completion of all access arrangements.
- To work with the SENCO to maintain all official SEND access arrangement records in line with the regulations of the awarding bodies.

**Running of public examinations**
- To ensure the smooth running of all public examinations in accordance with the regulations of the awarding bodies.
- To draw up the examination and invigilation timetables and to resolve clashes.
- To draw up mock examination and invigilation timetables.
- To manage the work and responsibilities of all teaching, administrative and agency staff involved in the examinations.
- To brief and train invigilators.
- To be responsible for the checking, sorting and secure storage of materials.
- To be responsible for processing and collection of results and certificates.
- To facilitate inspections during the examinations period.

**Budgeting**

To be responsible for working with the Bursary Team to ensure costs for examinations are charged and covered appropriately.

**To lead the usage of ISAMS and Satchel One in the school**
- Primarily responsible for the development of ISAMS throughout the school.
- Liaise with the Network Manager and Deputy Head Academic as necessary to ensure a stable ISAMS platform is running.
- Report to the Head and Bursar on investments needed for future developments.
- Remain up to date on developments of ISAMS capabilities.
- Work with SLT to identify and develop new uses of ISAMS and Satchel One in providing useful data for sections of the school community.
- Train and advise staff in the use of ISAMS for registration, accessing information and MS Teams for setting work.
- Extend and embed good practice in the use of ISAMS and Satchel One throughout the school
- With the Deputy Head Academic design and generate suitable mark sheets and monitoring reports, which should, as a minimum, include MidYIS/ALIS data and predicted grades, all Snapshot grade reports and results of significant whole-cohort assessments.
- Design and generate other ISAMS reports as required and directed by the Head or Deputy Heads. This could include, but not be limited to; calendar reports for specific types of event (e.g. musical performances); medical reports; cover loading reports; pastoral reports for form tutors and heads of houses; similar specialized reports for which a need is identified.

**To manage data in ISAMS**
- Oversee the input of accurate data within ISAMS regarding all staff and student details.
- Work with the Admissions Office and Registrar as required to ensure new student data is promptly and accurately included in the system.
- Manage and maintain data accessible to parents through Satchel One (specifics to be agreed by SLT).
- Working with SENCO, ensure relevant SEN information is recorded in ISAMS, available to staff, identified on mark sheets, and linked to appropriate Individual Education Plans.
- Ensure MidYIS/ALIS predictions are entered into all mark sheets for relevant pupils. Produce Individual Student Profiles for Years 7 and 12 for use by relevant Heads of Houses and Form Tutors.

**To facilitate other aspects of school business**
- Manage, with the Deputy Head, the production of reports.
- Manage results access procedures.
- Liaise with relevant members of staff to complete the annual DfE, ISC and CES census returns
- To support all ISAMS users with their data entry and housekeeping tasks.

**Person Specification**
- Essential_
- Educated to A Level standard or equivalent
- Experience in a similar role, ideally in the education sector
- Proven ability to clearly present meaningful information both digitally and orally to a range of audiences
- Strong written, oral and digital communication skills
- Strong numerical ability and qualitative and quantitative analytical skills
- Excellent computer skills appropriate to the role
- Ability to work accurately and to deadlines
- Strong understanding of UK data protection regulations
- Excellent organisational skills with
