Purpose of role

Overseeing a busy team of Multi Services Assistants (5 offices, Harrogate, London, Manchester, Newcastle and Southampton) for a prestigious law firm (250+ people). Based exclusively on site in one of our northern offices, with travel to other offices as required and occasional out of hours.

The holder of this position is charged with the task of assisting the business services manager to maintain the highest level of customer service. Every decision made should consider the relationship with the client. This leadership role will involve maintaining a productive workflow, while fostering an atmosphere that supports personal and professional growth.

Key responsibilities
- Manage a team of 10 Multi Service Assistants including all aspects of their performance and HR functions
- Oversee the day to day running of the DocuCentre in line with the client’s agreed service levels
- Lead the team to deliver exceptional customer service experience and ensure that all processes reflect this, and all staff are appropriately trained
- Oversee the set-ups and function requests of meeting rooms and conference suites to Facilitate Seminars / Meetings
- Helping to resolve client queries and assisting the Firm to use our services efficiently
- Supporting the Account Manager with the recording of information for inclusion in management reports for monthly reporting, and to actively participate in the account management programme
- Oversee and manage the day to day running of the DocuCentre in line with the client’s agreed service levels, distribute work to the team
- Assist in writing SOPs for all processes in the DocuCentre
- Assist the manager in the recruitment and induction of team members and with the continued development of current staff
- Team Continuous Feedback and 1-2-1 meetings and annual performance reviews
- Actively participate in all on site health and safety audits and assessments
- Monitor and ensure staff compliance with established procedures i.e. operational process, quality control procedures, conduct, attire, performance and attendance
- Manage archiving of confidential company and client documents and training staff on archiving procedures
- Oversee rail ticketing and hotel bookings for business travel
