The School Office at this Cambridge Upper School provides administrative support to Senior Staff, Academic Departments and the Pastoral Team as well as supporting other departments during busy periods (e.g. Admissions). This is a fantastic opportunityfor a highly organised and experienced administrator to join this busy Cambridge School Office. The prime focus of this role is to support the Deputy Head (Pupils) and Assistant Heads for Pupil Welfare, Pupil Development and Safeguarding with key pupil processesand events e.g. pupil tracking; detentions; lateness; and events (tutorial evenings, prizegiving events, colours assemblies etc), as well as being the main point of contact for parents and pupils.
Key Responsibilities To provide high level administrative support for all pupil related tasks and events. The post-holder will take responsibility for co-ordinating across functions and communicating with all those involved. This will require both planningahead and exercising initiative to solve problems as they arise, referring to senior staff as appropriate. To include: Coordination and administrative tasks:
- Working as a member of the School Office team and assisting with: - being a point of contact for parents, including dealing with queries and drafting and issuing correspondence;
- being a point of contact for pupils, including supplying change and loaningcash;
- assisting the Attendance Officer, including checking classrooms for pupils, taking messages to teachers and pupils in classrooms;
- managing value items of lost property (watches, mobiles, jewellery etc), to include reuniting items with their ownersand keeping a log of lost items;
- organising meetings and related logistics;
- assisting with the pupil report process, including proof reading and updating comments.
- Monitoring School Office and PupilTrack inboxes
- Pupil Record keeping: - ensuring pupil data is accurate and up to date on the School’s database;
- monitoring detentions;
- late pupil monitoring
- Assisting with events preparation, including: - communications and logístical arrangements for both School and PPA events;
- coordination of Tutorial Evenings, assisting parents and tutors with appointment booking process, organising rooming and cateringrequirements;
- assisting with Prizegiving and termly Colours events
- Assisting with the administration for the Enrichment Programme
- Promoting and safeguarding the welfare of children and young persons for whom you are responsible and with whom you come into contact
Person Specification Skills and Abilities
- Demonstrated excellent high-level administration skills
- Proven successful experience of working in a fast-paced administrative role with changing priorities
- A strong customer service ethos and an excellent telephone manner
- A high degree of accuracy, close attention to detail and a conscientious approach
- Excellent organisational skills; the ability to plan and prioritise, whilst multi-tasking across a range of areas of responsibility
- Well-developed written communication skills, with an excellent standard of literacy
- Excellent interpersonal skills and the ability to communicate effectively with senior staff, parents, pupils and external bodies, handling confidential matters with tact and discretion
- Well-developed ICT skills with a strong working knowledge of Outlook, Word, Excel and databases
- Initiative and practical problem-solving ability; a flexible approach
- Confidence working under your own initiative and as part of a team
- Resilience and ability to remain calm under pressure.
