My client is a small family office who manage the full financial planning and investment management needs for a small number of UHNW families based out of their offices in Mayfair (can offer flexible working). The advice given is very much service drivenand they require a high-quality individual to fill a Senior Client Administrator role within the business.**
The Company

**Core Duties & Responsibilities**
- Provide Support to Financial Planning Team
- Deal effectively with queries from clients and other parties through effective communication.
- Liaise with product providers and other third parties, including lawyers and accountants to acquire additional information that may be required to provide administrative support to clients or the preparation of recommendations.
- Obtain information, quotes, illustrations, and product details, and provide comparisons for analysis to assist the adviser and paraplanners in their preparation of advice.
- Prepare letters of authority and letters of instruction on behalf of clients.
- Assist and provide support with administrative functions, for example: new business processing, collating, organising and preparing future planning meetings with the client on behalf of the Financial Adviser.
- You will also be required to assist in preparing for client meetings by updating client valuations and preparing agendas, along with additional reports that may be required including the company's monthly update report to clients.
- Ensuring client managers and client director are kept informed on progress of tasks.

**Client Data Administration & Investment Support**
- Keep clear and updated records of client communications including client related communications with third parties.
- Update client valuations and portfolios on our back-office system and client portal, including unit holdings, plans and portfolios.
- Update transactional records including investment changes, contributions, withdrawals and cash transactions on company's back-office system
- Implement portfolio changes by inputting sale and purchase instructions into trading platforms.
- Conduct investment reviews of client portfolios and report findings to Client Managers and Financial Advisers

**Supervision of Client Administration Team**
- Assist company management and Client Managers in supervision of work conducted by other client administrators, including the training of administrators and use of activity records to assign tasks to client administrators.
- Assist company management and Client Managers in implementing company processes, with a focus on client administration processes.

**Qualifications and Skills**:
**Essential**:

- Strong Financial Services Experience with CISI or CII qualifications
- Experience working with and supervising team of IFA/Wealth Management Administrators
- Knowledge of all investment, life and pension products
- You will commit to continuous personal development, keeping knowledge up to date and retaining supporting records for review.

**Desirable**:

- Level 4 Diploma for Financial Advisers (either through the CISI or CII)
- Experience working with Iress/ Adviser Office strongly desirable technical knowledge may be validated from time to time through internal assessment. Key Skills:

- Understanding of the Financial Planning process
- Able to work within defined business processes
- Proactively stay aware of current client tasks
- Ability to prioritise tasks and achieve agreed outcomes without supervision
- Prioritise and plan own workload and client workflow
- Attention to detail and accuracy
- Ability to understand and analyse financial and non-financial data
- Excellent interpersonal skills, both written and verbal
- Experience in communicating with and managing expectations for HNW individuals
- Ability to multitask and prioritise independently and effectively
- Ability to work independently and in a team
- Shows flexibility to tasks and is willing to take on additional tasks where appropriate
