Financial and Administrative Officer for Colwall

The responsibilities of the role are to support administratively the youth work team in the delivery of its programme of youth activities and to liaise with the treasurer (the trustee responsible for the project’s finances) to ensure that financial records are kept up to date and are in the required format to ensure the swift and seamless compilation of regular management and end of year accounts.
- JOB ROLE_
**Finance**:
- To keep accurate accounts in line with the requirements of the treasurer, using CYP’s accounting system.
- To keep accurate records of all expenditure and work in line with budget parameters.
- To generate accounting reports for CYP’s Director of Youth provision and for the treasurer as required.
- To set up payments of invoices, salaries, HMRC and other payments in accordance with dual authorisation procedures.
- To raise invoices where necessary, monitor and where necessary chase payment.
- To manage the bank balance and monitor cash flow to reconcile payments and receipts with the bank account.
- To make payments into the bank as necessary.
- To collate financial data in an agreed format for our funders and Hereford based project partner Counselling, Learning and Development (CLD)
- To collate financial data to inform decisions on performance / events.
- To manage and record petty cash payments.
**Human Resources**:
- To keep accurate records of staff sickness / annual leave / unpaid leave to ensure that wages are accurately calculated each month.
- To ensure correct net payroll figures and action payment of staff wages, tax and NI to HMRC, and payments to Pension companies.
- Pensions NEST (monitoring, payment, sick pay)
- Payroll (pay slips, paying staff, monitoring hours)
- Liaise with payroll to ensure salary payments are correct.
**Office Support**:
- To maintain files (invoices and receipts, banking, governance etc.)
- To prepare necessary documentation for youth trips both day visits and residential.
- To support the DBS and Safeguarding leads administratively.
**Governance Support**:
- To meet with the Treasurer, prepare financial information and generate reports for trustee meetings (e.g. income and expenditure)
**Social Media Management**:
- Be conversant with Canva and Mailchimp. Draft posts and upload to Instagram, Facebook, and CYP’s website.
**Other**:
- To undertake any other duties as required, with a willingness to be flexible.
**Desired Qualities**:
- Educated to A level or equivalent or above.
- Minimum of two years demonstrable experience in a comparable professional role.
- High Level of competence in using Microsoft Office 365.
- Good working knowledge of booking keeping software and willingness to adapt to CYP’s chosen package.
- Experience of posting on social media, including a website.
- Good written communication skills.
- Ability to use written English well.
