**About the role **Immediate start**
We are currently seeking an office administrator to support all departments in carrying out day to day tasks and ensure deadlines are met.
We are looking for someone who maintains a positive and friendly company image by acting as the first line of contact to visitors and customers in person, online, and via telephone.
You must be computer literature and experience with Microsoft programmes such as Excel.
You must be reliable, trustworthy, have a ‘can-do’ attitude, excellent communication skills and fantastic attention to detail.
Working Hours: Mon-Thurs 8.30am to 5.00pm & Fridays 9.00am to 5pm
Fixed Office Location: Bexleyheath, Kent DA7
**Key Responsibilities**:
- Greeting visitors
- Housekeeping - ensuring the front reception / sign in area is always clean and presentable, including replenishment of hand sanitiser
- Co-ordinating appointments and meetings as per management request
- Supporting Manging directors requests and administration / filing
- Archiving folders and documents
- Maintaining office files, including job files, supplier files and any other files relating to the company’s operation
- Maintaining stationery and stock control - purchasing office supplies,
- Maintaining office assets and furniture, including printers and maintenance
- Maintain marketing stock, ensuring stock levels are efficient and orders placed where required in line with up-to-date company Logo and artwork
- General: Website Updates, liaise with management to complete
- Overseeing maintenance of office facilities and equipment such as printers
- Assist all departments with general administration duties and task completion
- Create, maintain and update records and databases with relevant data
- Submit timely reports and prepare presentations/proposals as assigned for both internal and external use
- Maintain security and fire safety procedures.
- Liaising with external contractors to ensure smooth handover vans.
- Handover of vehicles to new starters
- Administrating new starters on the systems and completing Driver checks.
- Working closely with HR on delivery of objectives that support induction.
- Performing all other relevant duties when required and requested
**Specific Job Roles**:
- Weekly Fire Alarm Checks
- Filing of visitor and staff sign-in registers
- Ensuring all fire escape routes are clear and accessible at all times
- First Aid Box, management and replenishment of office first aid
- Telecoms, management of internal telecoms system and updating the system when new starters join and staff leave, management of incoming mobile devices and allocated telephone line, ensuring this is kept up to date
- Uniform and stock control, issuing to new starters at the request of HR and maintaining stock levels, placing orders to replenish stock as required
- Scheduling Notices via in house PDA desktop system, liaison with other departments
**Before applying, please ensure you fulfil the following criteria**:
- Minimum of 1 years experience in administration duties
- Phone literate
- Computer Literate
- Strong computer skills and knowledge of common programs such as Microsoft Office
- Previous experience working within an office and administrator role
- Able to manage a situation and ensure a task is completed from start to finish
- Good with working as part of a team
